Duties and Responsibilities:

Include but are not limited to:


  • Employee will be responsible for supplies ordering: Sir Speedy, McKesson, Hyalgan, Procrit, & DM Supplies
  • Entering orders with accuracy, in a timely fashion, following up periodically, and ensuring approval has been received prior to creating any new orders.
  • Monitoring the medication temp log morning for accuracy and completion both in the morning and evening.
  • Answering calls: Incoming Inquiries, taking messages, and following up as needed.
  • Make Med. Adherence Part D Phone calls to members.
  • Granting System Access and Requests: Labcorp, Quest, Availity, Calypso, UHC, F/O referral portals, Compass, Wellcare, McKesson Supply Manager
  • Following up with employee once giving/denying access
  • Providing login guidance
  • Forwarding requests to the appropriate party if the request is beyond the executive assistant for operations scope of responsibility
  • Setting new hires up for the appropriate portals
  • Terming access as needed
  • Changing employee's location
  • Marketing Requests:
  • Sending unable to reach you and sympathy cards
  • Logging into spreadsheet
  • Sending to requestor in a timely fashion
  • Ordering inventory when running low
  • Sending posters and signs as needed
  • As the executive assistant for operations you will be asked to work on projects frequently with a sense of urgency and incredible attention to detail. You must be able to manage your time and complete standard daily activities while still making project deadlines. When the first draft of project is complete, you will submit to the Director of Operations for approval and/or feedback
  • Plan events: Send invites, place orders, and other tasks as they relate to event planning. These events can range from lunches to much larger events such as pod meetings
  • Scheduling and assisting in meetings: Using Go to Meeting or Go to Webinar to schedule meetings for Operations Managers
  • Reporting: Accureports, Covid Call Attendance Tracking, Percentage of Patients Seen Reports, Adding New Users, Provider Monthly Summaries
  • Maintaining IPA Directories: Team Leads, Providers (New and Termed), Plans, Panel Status, Phone, Fax Numbers, and Addresses
  • Taking inventory on a quarterly basis for Covid Supplies and Covid Stockpile
  • Checking smartsheet and sending supplies as needed to offices
  • Transfers: Flu Vaccine, Covid Supplies, Miscellaneous items. Ensuring forms are filled out properly and sent to the appropriate areas once transfer has been completed
  • Maintain receipts and employee travel log
  • Supporting the Director of Operations in any capacity as it relates to operations

Requirements:

Education and Experience:


  • High School Diploma or GED required
  • Job experience that shows progressive growth
  • Knowledge of HEDIS, MRA and Medicare Advantage plans
  • Experience in high stress situations that require detail oriented though process and multitasking.
  • 12 years of proven experience as an administrative or executive assistant
  • Bilingual is a plus

Computer Skills Required:

Microsoft Word, Excel (intermediate level or above), Outlook, PowerPoint


Computer Skills Preferred:

Web Site Management, Database Queries, Accureports, Health Plan Portal knowledge (Freedom, Optimum, Wellcare, Humana, Ultimate, Coventry)


Pay:
$ $18.00 per hour

Expected hours: 40 per week
