Position Overview:

The Executive Administrative Assistant plays a crucial role in providing administrative support to the organization, with a primary focus on managing insurance claims, investor agreements, contracts, and maintaining a contract database.

This role also encompasses typical administrative duties within the property management and investment sectors. Additionally, this position will provide support to the COO, Chief Investment Officer, and In-House Counsel on department needs.


Key Responsibilities:

Insurance Claims Processing:


  • Receive, review, and process insurance claims promptly and accurately.
  • Coordinate with insurance providers and internal stakeholders to ensure timely resolution of claims.
  • Maintain detailed documentation and records of processed insurance claims.

Contract Management:


  • Assist in the creation, completion, and processing of investor agreements and other contracts.
  • Ensure accurate documentation, signatures, and filing of contracts according to organizational procedures.
  • Collaborate with legal and finance teams to ensure compliance with contractual obligations and deadlines.

Database Management:


  • Regularly update and maintain the contract database with new agreements, amendments, and terminations.
  • Ensure data integrity and accuracy within the contract database.
  • Generate reports and provide insights on contract status and trends as required.

Additional Administrative Duties:


  • Schedule appointments, meetings, and conference calls as requested.
  • Assist with general office tasks such as filing, photocopying, and ordering supplies.
  • Provide administrative support to other team members and departments as needed.

  • Proficiency in Microsoft Office suite (Word, Excel, Outlook) and experience with database management software.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Bachelor's degree or equivalent experience preferred.

$75, $90,000.00 per year
