Job Summary
Swissport Fueling Inc, located at Oakland International Airport, has an exciting administrative opportunity available for immediate employment. The Inventory and Administrative Manager is responsible for ordering Jet-A, AVGAS, Diesel, and Unleaded for all Airlines and Suppliers.

In addition, the Inventory and Administrative Manager is responsible for maintaining positive inventories of all fuel holders, investigating inventory variances for all fuels products, as well as processing accounts payable and payroll.

The Inventory and Administrative Manager must follow A4A Spec 123 accounting standards for fuels accounting.

The expected pay rate is $75k-$100k/yr.

Your activities

  • Reconcile daily and monthly fuel inventories
  • Maintaining positive fuel inventories for airlines and suppliers
  • Maintain accurate fuel inventory and usage forecasting
  • Process weekly Accounts Payable in SAP
  • Process weekly Payroll reports and reconcile Payroll.
  • Coordinate with Fuel Facility Manager to adjust inventories as needed for tank work
  • Coordinate with Consortium Vendors to ensure accurate accounting of fuel transactions
  • Process Month End report and supply them to the Airlines and Fuel Suppliers
  • Set up/maintain accounting files and records
  • Inventory projections, supply ordering and Accounts Payable.
  • Assist with yearly budget preparation and analysis
  • Present Inventory reports on a Weekly and Monthly basis to Consortium members
  • Preform other duties as requested by General Manager
  • Ensure CMMS work orders are completed and closed out
  • Onboarding new hire
  • Purchase supplies
  • Process expense reports
  • Perform other duties as requested by General Manager
  • Familiar with Incident Command System
  • Willing to learn and Crosstrain in Pipeline Operation
  • Familiar with Union work environment and assist with Union Grievances

Your profile

  • Minimum of 4 years Administrative and/or accounting experience is preferred. 3 years of Fuels Accounting experience is also preferred or related experience.
  • High School diploma or equivalent is required, college degree in accounting is preferred
  • Excellent proficiency in Microsoft Word, Excel and Power Point is required
  • Able to pass a preemployment drug screening
  • Must pass an FBI background check per airport requirement
  • Must have above average math skills
  • Able to multitask
  • Must be available for weekend work
  • Able to adjust schedule to be available for Month End closeouts (Usually preformed on the 1st of every month)
  • Have excellent verbal and written communication skills
  • Selfdriven and highly motivated
  • Well organized
  • Must be willing to travel (During training period)
