Job Summary:

The Executive Assistant reports directly to the Chief Financial Officer (CFO) and also supports CFO direct reports, as requested. This position is responsible for providing administrative support with a high degree of ethics, integrity, and confidentiality. This role is encouraged to be a strategic partner to the CFO. Hope Media Group the home of KSBJ, WayFM, Vida Unida and NGEN radio. This position resides in Houston, TX.


Essential Functions:


Administrative Support:


  • Provided administrative support for CFO and CFO direct reports, as requested
  • Oversee CFO calendar, including making appointments and prioritizing the most sensitive matters
  • Assisting with CFO direct report calendar management, as needed
  • Organize meetings and activities, including scheduling, sending reminders, and organizing catering when necessary
  • Coordinate business related travel arrangements
  • Prepare and submit expense reports including credit card, travel/mileage, etc.
  • Prepare and manage CFO portion of Executive budget including monthly Budget v Actual reporting
  • Maintain high degree of professionalism and confidentiality

Strategic Support:


  • Determine priority of matters of attention for CFO and redirect matters to other team members to handle, as appropriate
  • Keep CFO and CFO direct reports advised of timesensitive issues & ensure appropriate followup
  • Assist in research of initiatives that further the ministry's strategic direction
  • Manage internal/external relationships including scheduling networking meetings and sending correspondence/gifts as directed
  • Listen empathetically to the views of others while reinforcing organization values and leadership directives; escalate to officers, when needed
  • Share perspectives with CFO so that they may better serve the ministry

Governance Support:


  • Create and format documents/reports for Board meetings, as directed
  • Schedule Board Finance Committee meetings
  • Familiarize self of Board bylaws and policy manuals to support compliance with governing documents
  • File uptodate Board policies, manuals, etc. in assigned location
  • Create space on CFO calendar to work on Board related tasks
  • Serve as back up to Sr. Executive Assistant for Governance

Demonstrated Faith:


  • Pray for coworkers in team meetings
  • Lead prayer in large group settings, as needed
  • Pray for donors when called upon to do so
  • Use Christian principles to work through conflict
  • Participate in Fundraising Events and pray for donors over the phone, as needed
  • Participate in ministry wide Christian bible studies
  • Attend Prayer Huddle for ministrywide prayer and devotions

Non-Essential Functions:

Requirements:


Education:


  • Bachelor's Degree preferred

Experience:


  • 710 years administrative support experience

Knowledge, Skills, and Abilities:


  • Strong planning and organizational skills
  • Detail oriented, while able to see bigger picture
  • Ability to excel in fast paced environment
  • Excellent verbal and written communication skills
  • Strong experience in creating professional business presentations
  • Ability to prioritize and multitask
  • Maintain high level of confidentiality
  • Proficient in MS Office
  • Heart for Christian ministry
  • Strong moral character
  • Has a personal relationship with Jesus Christ
  • Spiritually grounded and working knowledge of scripture
  • Must be an active member of a Bible believing local church
