Specific Duties & Responsibilities

  • This individual oversees a critical function of the department.
  • This position requires coordination with administration, faculty, perioperative services at each hospital, medical office coordinators and department leadership.
  • Oversees a team of centralized posters for the department and is the key communicator on behalf of the department regarding OR time.
  • Assist with recruitment, training, disciplinary actions, performance reviews and time/attendance.
  • Manages OR schedule, block utilization and surgical scheduling staff for JHOC, White Marsh, and JHBMC into the earliest most convenient time slot while considering factors such as procedure time and availability of operating room personnel and equipment.
  • Assist with setting surgical protocols and standardize work practices as needed.
  • Maintains information files describing block time, shared equipment, surgeons and procedures needed to sustain the integrity of the data base.
  • Follows policies and procedures covering patient's admission to the hospital.
  • Performs regular analysis of operating data for summary utilization statistics.
  • Coordinates operating room posting with patient admission.
  • Coordinates activities of the same day surgical unit, operating room and admitting office with the physician's office.
  • Communicates schedule changes and conflicts to nursing staff so equipment and supply requirements can be adjusted accordingly.
  • Controls and monitors block time usage.
  • Captures and tracks information related to patient admission.
  • Provides a daily and tentative operating room schedule from system.
  • Generates summary reports used by management to resolve operational issues in support of longrange plans.
  • Attends user conferences and supplemental training programs to gain knowledge of scheduling alternatives and system enhancements.
  • Establishes workflows to optimize on coding submitted for preoperative clearance.
  • Establishes workflows to ensure efficiency or O.R. time.
  • Coordinates and leverages O.R. utilization for more time.
  • Maintains cordial relations with each O.R. suite.
  • Maintains working list of equipment needs on behalf of the department.
  • May assist with schedules for preoperative evaluation and diagnostic preoperative test.
  • May interact with insurance companies to secure necessary referrals and authorizations.
  • On a regular and continuous basis, exercises good judgment and assumes responsibility for decisions, consequences, and results having an impact on people, costs, and/or quality of service within the functional area.
  • Other duties as assigned.

Minimum Qualifications

  • High School Diploma/GED required.
  • Four years progressively responsible medical office experience required.
  • Supervisory experience preferred.
  • Medical terminology required.
  • Requires an understanding of CPT/ICD10 coding for surgical procedures.

Preferred Qualifications

  • Bachelor's Degree preferred.
  • Supervisory experience preferred.
