This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS)**- Advanced placement to the Trainee 2 or Grade 11 may be possible depending on education and experience.


Competitive Minimum Qualifications:
Appointment may be made at a traineeship level.

A new two-year traineeship (Administrative Assistant Trainee 1 & 2, NS=Grade 8 & 10) leading to Administrative Assistant 1, Grade 11, has been approved effective November 8, 2023.

Trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses in the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency.

All trainees are required to successfully complete all courses before advancing to the Administrative Assistant 1, G-11.

PREFERRED QUALIFICATIONS:
Proficient in Word, Excel, and Outlook. Must have strong organizational, proofreading, verbal and interpersonal skills, the ability to multitask, and demonstrate attention to detail.


Duties Description


The Bureau of Payment Controls and Monitoring has a program need for an Administrative Assistant 1/Administrative Assistant Trainee 1 position to support the work of our busy multi-functional Prepayment Claims Review, Audit, and Investigative teams.

The Administrative Assistant would function as a member of the Division of Medicaid Investigations, Bureau of Payment Controls and Monitoring Team to support the activities of the various specialized teams within the Bureau.

The Administrative Assistant/Trainee will work with the Medical, Dental and Transportation Prepayment Claims Review Teams, the Dental Audit Team and the Dental Investigations Team supporting the activities of the agency's prepayment claims review and Dental Audits and Investigations.

The Administrative Assistant/Trainee will be supporting and working with each team in the Bureau.

The duties of the position will include, but may not be limited to:


  • Triaging incoming phone calls.
  • Assisting with administrative tasks.
  • Scanning supporting documentation into case files and upload to share document chart file.
  • Assisting in the mail out of provider communications.
  • Assist in preparation of regularly scheduled monthly reports.
  • Maintain shared Bureau Calendar for telecommuting / time off and / in office days.
  • Book conference rooms and set up meetings as requested.
  • Assisting with special projects as needed.
  • Aiding in data review.
  • Review and advise staff when updates to FACTS / PACS cases are needed.
  • Assist staff with record requests.

Additional Comments
Trainee 1 salary starts at $39,215. Salary is non-negotiable.
