Description
Marvelwood School is seeking a Registrar to begin in June of 2024. The Registrar reports to the Dean of Academic Affairs and is a vital member of the Academic Office.

The Registrar supports all aspects of student records management, including collecting, recording, maintaining, and reporting within FERPA guidelines and responding to requests from many stakeholders.

The Registrar will assist in managing the course registration process and provide prompt service to those requesting transcripts, attendance records, and education verifications.

Additionally, the Registrar will work closely with faculty, administration, and other staff members in various aspects of their role.


MAIN DUTIES AND RESPONSIBILITIES:


  • Utilize and maintain the student information system (Veracross) to ensure accuracy, completeness, and compliance with the Family Educational Rights and Privacy Act (FERPA).
  • Manage the data entry and publishing process of all school academic documents. Create and update documentation about these processes. Communicate timelines and status updates to faculty and staff. Complete audits of grade data in a timely fashion. Collaborate with the Dean of Academic Affairs to ensure outstanding grades and incompletes are updated.
  • Support faculty in gradebook, final grade, and narrative comment entry.
  • Ensure that late enrollees or early withdrawals are processed accurately.
  • Coordinate grading periods and exam schedules and communicate those to the school community.
  • Process requests for transcripts, report cards, and other academic documentation in a timely and accurate manner.
  • Train and support faculty and staff on the effective use of student information systems.
  • Work closely with academic department heads to update course descriptions for the Curriculum Guide.
  • Order textbooks, barcode, and maintain the Libib database; distribute and collect student textbooks at the start and end of the school year.
  • Order supplies needed for faculty and classrooms as approved by the Dean of Academic Affairs and submit purchase orders.
  • Assist in the setup and administration of standardized tests.
  • Partner with the College Counseling office on the efficient and accurate creation of student transcripts.
  • Complete other Duties as Assigned: Complete additional tasks and projects as directed by the Dean of Academic Affairs.

DESIRED QUALIFICATIONS:


  • Experience in a K12 independent school setting, with a strong preference for experience as a Registrar.
  • Proficiency with student information systems, learning management systems, and data management and visualization tools. Experience with Veracross, Microsoft Office Suite, and Google Apps for Education is highly preferred.
  • Excellent written and verbal communication skills, the ability to collaborate effectively with all school constituencies, and the ability to remain calm under pressure.
  • Strong analytical and conceptual problemsolving skills.
  • Ability to assess priorities, respond quickly to changing needs, and manage competing responsibilities effectively.
  • Experience in project management with strong organizational, administrative, and problemsolving skills.
  • Exceptional attention to detail.
  • Strong desire to learn new things.
  • Commitment to maintaining confidentiality in all aspects of the job.
  • An enthusiastic desire to learn about Marvelwood's programming, people, and culture and to be actively involved in the School community.
  • A collaborative spirit with a willingness to learn and grow as a member of a strong team.

Compensation and Work Hours
This is a non-exempt, hourly position involving 40 hours per week.

The position requires in-person work on our campus in Kent, Connecticut, and takes place during school hours, Monday through Friday, 8 am to 4 pm.

Some weekend work on special weekends (including Family Weekends and Commencement) is also required. Compensation is commensurate with experience and skill level. The position is a 12-month position with paid time off, and benefits are available.
