Dean's Secretary
REPORTS TO:
Dean of Students
LENGTH OF CONTRACT: 10-months; 190 days; 8 hours per day
SALARY LANE:
Clerical level II
RESPONSIBILITIES:
The Dean's Secretary is responsible for providing direct services as identified by the supervisor and providing support to staff.
Typical duties that may vary according to school or situation:
- Screen the requests of individual students on a first come, first served basis
- Keep order in the office area when students are waiting to see the Deans
- Screen and direct visitors to the building
- Process and manage individual student discipline records
- Produce letters to parents notifying them of discipline interventions
- Create and distribute detention assignments
- Prepare data for school, district, state, and federal reports (i.e. attendance, discipline, transportation)
- Update Dean's schedules
- Assist in the management of student office helpers
- Initiate payment authorizations for the various school detention programs
- Assist with the administration of the student parking program
- Assist office colleagues with answering phones
- Assist with the data entry of purchase orders and production of budget reports for individual departments
- Assist with the administration of special events such as Meet the Deans
- Manage the appropriate forms used by the Dean's office
- Coordinate the Academic Awards program
- Manage the lost and found
- Assist or substitute for office colleagues as needed
- Perform miscellaneous duties as assigned by the Dean or Dean's designee

SPECIFIC DUTIES:
- Exhibit professionalism and commitment through punctuality and attendance
- Observe and follow District 155 policies and procedures
- Work both independently and as a member of a team
- Maintain records for the deans' department as needed
- Screen phone calls to receive and transmit communications as necessary
- Assist attendance clerk with absence calls
- Perform other duties as assigned by the identified building supervisor or designee
PHYSICAL REQUIREMENTS:
While performing the duties of this job, the employee is frequently required to stand, walk, sit, talk, see, hear, and type on a computer or device.
