***The Scheduler will be responsible for coordinating and accurately scheduling appointments in the EHR system for providers and patients, in addition to developing and delivering training programs to ensure the efficient and effective operation of medical front desk staff.


REPORTING RELATIONSHIPS
This position will report to the Practice Manager. No employees will report to this position.


ESSENTIAL JOB DUTIES AND FUNCTIONS
While living and demonstrating our Core Values, the Scheduler will:


  • Manage and coordinate provider schedules in the EHR system
  • Utilize EHR system to book appointments accurately and efficiently
  • Maintain accurate and uptodate records of patient appointments, cancellations, rescheduling, and other relevant information in the EHR system
  • Design comprehensive and standardized training materials covering various aspects of medical front desk operations, including but not limited to appointment scheduling, patient registration, insurance verification, billing procedures, and HIPAA compliance to ensure consistency across all TWC front desk locations
  • Work closely with front desk managers, supervisors, and other relevant stakeholders to align training initiatives with organizational goals and objectives
  • Lead training sessions for new front desk hires (front desk supervisors and clinical administrative assistants), ensuring they acquire the necessary skills and knowledge to perform their duties competently
  • Identify areas for improvement and develop strategies to address them, either through additional training or process refinement. Incorporate new information and best practices into training programs to ensure they remain current and effective
  • Offer one on one coaching and guidance to individuals who require additional support or personalized assistance in mastering specific tasks or concepts

Requirements:


REQUIRED QUALIFICATION

  • Meet The Wright Center for Community Health and its affiliated Enterprise entities' EOS People Analyzer Tool
  • Buy in and experience working in the EOS model (strongly preferred)
  • High school diploma or equivalent
  • Prior experience working in a medical front desk (4 to 6 years)
  • Proven track record in designing and delivering training programs, preferably in a healthcare setting
  • Strong understanding of medical terminology, insurance processes, and HIPAA regulations
  • Excellent communication and interpersonal skills, with the ability to effectively convey complex information and provide constructive feedback
  • Proficient in using office productivity software and electronic health record (EHR) systems
  • Demonstrated organizational skills and attention to detail
