    Description
    The Office Coordinator (OC) for McNair Building of Administration is rooted from the Human Resources department, with the responsibility of assisting various central office staff/district departments in the daily operations of the Administration building. The OC will have a significant role in ensuring efficient front office operations while providing exemplary customer service, excellent email and in-person communication and mailroom practices. In addition to maintaining the administrative systems and office routines. The OC will maintain the culture centered around The School District of University City's core mission and vision to demonstrate a relentless drive to support the 3 Pillars of Learning Reimagined: Humanize, Personalize, and Problematize.

    Essential Duties and Responsibilities

    Provide exceptional customer service to all visitors, staff, students, and vendors while practicing the proper screening process.

    Manage incoming and outgoing phone calls: redirect calls, take messages, check voicemail messages within a 24 hour time period and follow up by corresponding via phone/email.

    Use Google Suite for District-Wide communication, including written/typed correspondence, and notices.

    Maintain the District Calendar and schedule appointment times for use of central office conference rooms.

    Manage mail by properly receiving, sorting and preparing packages/envelopes for delivery to corresponding external vendors and staff/office(s); identifying items that need immediate attention.

    Assist with processing and filing, practicing safety and confidentiality.

    Respond to a wide variety of calls, concerns, and/or complaints from patrons and others providing accurate information, and/or referring them to the appropriate personnel.

    Efficiently operate desktop/laptop computers, calculator, printer/copier/fax, and postage machines.

    Process purchase orders for central office supplies as needed for events, conferences and daily office operations.

    Coordinate and order supplies for special district events (in collaboration with the District Chief of Staff).

    Create and submit central office maintenance requests using the operations department database.

    Assist district department in the SDUC Substitute process: screen new substitute applicants, call/email available substitutes for daily assignments, log substitute time in Frontline Absence Management System to ensure accuracy in substitute scheduling and pay.

    Assist district department with contacting substitute nurses for school nurse placement.

    Assist district department in preparation for newsletters, special event fliers, and community notices.

    Assist district department in preparation for central office and district special events, holiday festivities, and morale boosting social occasions.

    Assist District Chief of Staff with scheduling organizational health and effectiveness interviews.

    Performance Knowledge, Skills, and Abilities:
    • Skill of a self starter, manage multiple tasks, pay attention to detail, with a positive attitude.
    • Perform interpersonal skills using tact, patience, and courtesy.
    • Operate required technology to perform essential functions of the role.
    • Read and interpret documents such as schedules, instructions and procedure manuals.
    • Skill and willingness to learn new concepts, systems and/or software.
    • Contribute as an asset to the organization and a proactive member of a team.
    Qualifications:
    • Five years of office experience (preferably in an educational setting).
    • Bachelor's degree required.
    • Proven track record of exemplary customer service and ability to connect positively with students, parents, families, staff, and visitors.
    • Ability to proactively solve problems, make decisions, and stay calm under pressure in difficult situations and conversations.
    • Excellent computer skills, including Microsoft Word, PowerPoint, Excel, and Google Suite
    • Displays maturity and ability to work independently.

    • Ability to exert up to 25 pounds of force to lift, carry, push, pull, or otherwise move an object
    • This position requires occasional or frequent, standing, walking, sitting, bending, and reaching for extended periods of time
    • Sufficient manual dexterity and/or mobility to grasp and/or manipulate objects, operate mechanical equipment and move about the work area
    • This position will subject the employee to work environments that have exposure to weather or interiors with extremes of heat and/or cold, wet, and/or humid conditions, high noise levels, and various work-related hazards
