    Summary
    Under the direct supervision of the program director and assistant program director, the administrative assistant provides administrative and executive support. The assistant helps oversee and coordinate the office's day-to-day activities and may serve as a principal point of administrative contact and liaison with Premier Academy clientele.
    Essential Functions
    • Helps oversee and administer the day-to-day activities of the office; helps develop procedures and systems that ensure productive and efficient office operation.
    • Independently prepares non-routine letters and/or reports, which may be highly sensitive and confidential.
    • Helps to organize and process payroll data in a limited way.
    • Helps maintain a participant database (ProCare) comprising student and parent/guardian information for attendance, billing, enrollment, etc.
    • Helps with overseeing the operation of office accounts, manages the purchase of supplies, and follows the budget and purchasing instructions provided.
    • Provides direct support to the Assistant Program Director and Director, including greeting and assisting visitors, handling phone calls and inquiries, scheduling and maintaining calendars and travel arrangements, handling day-to-day public relations and problem-solving, providing transcription and word processing support, and enrolling Premier Academy students.
    • Helps oversee and facilitate personnel administration procedures and documentation for the office and coordinates recruitment planning and searches, as appropriate.
    • Aids in understanding and interpreting Premier Academy and Communities In Schools of Southeast Harris and Brazoria County's policies and procedures, as appropriate, ensures that office and campus operations follow policy provisions and standards.
    • Assists with the development and preparation of forms and documents. Familiar with adobe sign.
    • Maintains a spreadsheet of deadlines and required documents.
    • Performs miscellaneous job-related duties as assigned.
    Knowledge and Skills
    • Associate's degree or High school diploma or GED with directly related administrative expertise in fiscal services, administration, and human resources gained through 5 years of equivalent-level work experience.
    • Ability to work in a fast-paced Premier Academy environment.
    • Ability to meet strict deadlines.
    • Willingness to maintain the standards carries out the purpose and adheres to Communities In Schools (CIS) policies.
    • Records maintenance skills with the ability to gather data, compile information, and prepare reports.
    • Expert in the use of word processing and spreadsheets, especially Excel.
    • Ability to analyze and problem solve, plan, develop, and coordinate multiple projects.
    • Knowledge of administrative policies and procedures, general accounting principles, and office management.
    • Skill in organizing resources and establishing priorities.
    • Skills in budget and fiscal management.
    • Ability to foster a cooperative work environment.
    • Ability to manage confidential information appropriately.
    • Strong interpersonal, verbal, and written communication skills and the ability to work effectively with various constituencies in a diverse community.
    • Ability to work with minimum supervision and as a member of a team.
    • Means of self-transportation during the workday.

    Language Skills
    • Ability to read, analyze, and interpret policies and procedures.
    • Excellent oral and written communication skills.
    • Bilingual preferred but not required.
    • Ability to function in a diverse job situation.
    • Interact consistently and positively with a diverse group of individuals of the school, city, and state entities, brand subsidiaries, and the state office of CIS.
    Mathematical Skills

    Ability to apply mathematical operations to such tasks as budgets, payroll, and daily operations of the program.

    Reasoning Ability
    Ability to define problems, establish facts, and draw valid conclusions.

    Travel
    Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected.

    Physical Requirements:
    To perform the job, a person must have the ability to do the following physical actions:
    • Frequently sit (approximately 25% to 80% of the time)
    • Frequently stand (approximately 10% to 60% of the time)
    • Frequently walk (Approximately 10% to 40% of the time), generally from 5-30 feet within the office.
    • Frequently lift and carry an average of 5 to 20 pounds and occasionally as much as 40 to 70 pounds or more. Items to be lifted or carried might include but are not limited to, boxes or files, copy paper, supplies, materials, donations, etc. Most items will be carried by hand. Most items must be lifted to knee or waist level, some to chest level, and only a few items overhead.
    • Frequently push and pull objects to open and close file drawers; occasionally move items around the office, such as a box of copy paper or computer paper; occasionally move a small piece of furniture, the office chair, the vacuum cleaner, etc.
    • Occasionally bend and kneel to file, retrieve items, etc.
    • Occasionally flex upper trunk forward at the waist and partially flex knees, sometimes twisting or rotating upper trunk to right or left while sitting or standing.
    • Occasionally place arms above, at, and below shoulder height to reach.
    • Occasionally climb stairs or inclined surfaces.
    • Ability to get to and from work; ability to move from one location to another during the day if necessary. Possess a valid Driver's License for client transportation purposes or to run necessary errands. Must furnish current proof of insurance.
    • Must be able to work a flexible schedule. This position may require some work on evenings and weekends.

    Environmental Conditions
    • Occasionally requires going outside during hot or cold temperatures or wet conditions to work with clients or prepare for special events.
    • Occasionally requires going outside during evening and night hours.
    • The administrative assistant works alone at times but usually works with others.
    • There may be somewhat cramped work quarters depending on the availability of office space.

    Physical requirements include sight, hearing, sitting for up to eight hours per day working on a computer and/or telephone, standing and stooping, extensive driving from the office to one or more schools, lifting and moving supplies weighing up to 40 pounds.
