Summary:

Performs full range of secretarial and administrative duties for the Director of Services. Assistsadministrators, principals and special services staff with communication regarding programservices.

High school education.

BA preferredFive or more years office experienceExperience using Microsoft Office including Word and Excel, accounting database, studentinformation and special education database, online ordering, Google docs and Google calendarStrong interpersonal communications skills and positive public relations demeanorStrong listening and communication skillsAbility to manage conflictKnowledge and understanding of office procedures and operationSuch alternative experience to qualify performing the specified job dutiesSpeed and accuracy with high volume of detailed work with discretion and confidentialityObjectivity and discretionReports to Director of Pupil ServicesResponsibilities1.

Process Individual Special Education Programs (IEPs) and maintain special education files forall District Individual Educational Programs2.

Verify and maintain all student special education records in accordance with state statutesand timelines3. Maintain attendance for all Out of District students4. After notification by special education staff, create and send compliant meeting invitationsand IEP evaluation consent forms, create draft IEPs5. Enter students from Early intervention into the Special Education system6.

Encumber funds, enter requisitions, maintain contract binder for special education servicesand grants7. Maintain a running record of grant spending and spending for contracted services8. Maintain daily records and report periodically the attendance of Medicaid-eligible students inthe district9. Implement all Medicaid required record keeping, reporting, notifications, and follow-up10.

Maintain and update separate files of all inactive special education students11. Serve as liaison between the Student Services office with faculty, staff, students andfamilies12. Distribute and receive written, phone and electronic correspondence among special staff13. Maintain and replenish inventory of Student Services office supplies and filing materials14.

Create the Special Education Evaluation Compliance calendar15. Support of annual special education summer services and programming16. Coordination and arrangement of special transportation17. Account payables for Special Education18.

Assist the Director with grants and state indicator data collection19. Other duties as assignedBusiness Office (.4 FTE)1. Support payroll processing2. Check timesheets for accuracy3.

Coordinate with Administrative Assistants to ensure accurate and timely submission of timesheets
