As a Client Care Coordinator (CCC), you'll play a crucial role in ensuring their journey is smooth, supportive, and satisfying.

From new clients seeking guidance to established individuals continuing their growth, you'll be there every step of the way. Together with our Clinical Director, you'll steer our efforts towards fulfilling our practice's overarching goals.


RESPONSIBILITIES:


Client Experience

  • Take all incoming referrals for new clients and follow up within 24 hours.
  • Follow up with all referral sources regarding the referral and complete the online intake form if the information is missing from the referral form.
  • Use systems to verify active insurance and related information.
  • Performing daily, weekly, and monthly best practices tasks associated with our EHR system.
  • Enter all new client information into our electronic health records systems accurately and verify insurance.
  • Assist the Clinical Director and leadership team with making appropriate selections/matches from client to clinician based on areas of specialization and expertise.
  • Schedule client's 15minute consultation and first appointment with urgency and based on the clinician's availability.
  • Communicate with clients regarding what they should expect before their first appointment, completing paperwork and company policies, what items to bring to their first appointment, etc.
  • Add the appointments to the clinician's calendar and send out phone consultation invites to the clients as well.
  • Schedule a reminder to go out 24 hours before the client's first appointment.
  • Communicate with clients after the first appointment to ensure their needs were met and they were satisfied with their placement. Make adjustments as needed.
  • Build relationships with community partners to nurture a professional relationship.
  • Reach out to community partners to ensure their satisfaction with SHIFT Your Journey services.
  • Utilize referral sources when clinicians are accepting new clients; make phone calls to referral coordinators informing them of these openings.
  • Create and maintain welcome bags for all new clients and clinicians.
  • Support the Clinical Director with other tasks as needed.
Billing + Coding

  • Review and accurately code diagnoses and procedures according to current coding guidelines and regulations.
  • Prepare and submit insurance claims electronically or by paper.
  • Verify insurance eligibility and coverage for clients.
  • Follow up on unpaid claims and outstanding balances, including appeals and resubmissions as necessary.
  • Maintain accurate and uptodate billing records and documentation.
  • Communicate effectively with insurance companies, clients, and internal staff regarding billing and reimbursement issues.
  • Stay informed about changes in billing and coding regulations and guidelines.
  • Assist with other administrative tasks and duties as needed.

EXPERIENCE

  • 2 years of office experience preferred
  • 1 year medical office experience required
  • At least 1 year medical billing and coding experience required.
  • Experience working with athenahealth highly preferred.

QUALIFICATIONS:


  • High school diploma or equivalent; some college coursework preferred.
  • Previous experience in customer service, administration, or a related field is preferred.
  • Previous experience in sales preferred.
  • Strong interpersonal skills with an empathetic and customerfocused approach.
  • Excellent verbal and written communication skills, with the ability to communicate effectively and professionally with clients, colleagues, and community partners.
  • Detailoriented with exceptional organizational skills, capable of managing multiple tasks and priorities.
  • Experience working with Google Apps and Drive.
  • Experience working with website builders and platforms such as Squarespace, Wix, etc.
  • Driven by goals, able to work towards meeting goals without getting frustrated or giving up.
  • Must have deductive reasoning skills and the ability to interpret charts and graphs; each client will be placed with a clinician based on that clinician's area of expertise.
  • Excellent at community outreach and building relationships in the community as well as with new organizations.
  • Demonstrated ability to work independently and as part of a team, maintaining a positive attitude and adapting to changing circumstances.
  • Strong problemsolving skills, able to handle challenging situations with patience and professionalism.
  • Deductive reasoning skills and the ability to analyze information, charts, and graphs to make informed
