Description

The Crew Coordinator is responsible for assisting the Crewing and Operations department to ensure optimal staffing levels for our vessels and support various administrative functions.

This role involves coordinating crew scheduling, assisting with training compliance, and providing essential administrative support. The position will play a crucial role in maintaining an efficient and well-organized work environment.


Essential Responsibilities:


  • Assist in coordinating crew scheduling and maintaining crew records in company software; generate reports weekly detailing crew activity, turnover and recognition activities.
  • Work closely with the Crewing Managers to ensure vessels are adequately staffed with qualified crew members.
  • Coordinate crew travel arrangements as directed.
  • Assist the Crewing Managers with vessel crew requests to transfer.
  • Ensure all vessel employees complete onduty documents before boarding vessels.
  • Work with the operations department to ensure personnel arrive at the assigned vessel.
  • Assist in resolving personnel issues and logistics to minimize delays in the operation of vessels.
  • Assist in tracking and maintaining payroll records for crew members.
  • Prepare and submit payroll summary reports.
  • Track compensation for extended crew changes and disembarking personnel
  • Support employee training and development programs.
  • Assist in tracking crewmembers' training progress and compliance with credentialing requirements.
  • Participate in crew change safety meetings and training seminars.
  • Ensure strict compliance with company procedures and policies.
  • Other duties as assigned.

Minimum Requirements:


  • High School diploma or GED
  • Preferred experience in vessel crewing or related transportation industry.
  • Proficiency in Microsoft Office Suite
  • Exceptional time management and organizational skills
  • Strong written and verbal communication abilities
  • Adaptability and ability to thrive in a fastpaced environment.

Physical Capabilities:


  • Carry, push, pull, or move 10 pounds regularly, or up to 20 pounds occasionally
  • This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines
  • Ability to sit up to 8 hours per day
