Introduction:

The Board on Aging and Long Term Care (BOALTC) is looking for their next Office Manager. The BOALTC is looking for a passionate individual who prides themself on their "go-getter" approach to process improvement and providing top notch support

This agency's headquarters is located in Madison. This position is eligible to telecommute 3 days per week, upon agreement of the supervisor. This schedule may change based on operational needs and organizational requirements.


The mission of the Board on Aging and Long Term Care (BOALTC) is to advocate for the interests of the state's long-term care consumers, to inform those consumers of their rights, and to educate the public at large about health care systems, Medicare and long-term care.

Position Summary:


Under the general review and supervision of the Executive Director, the Office Manager performs professional, confidential, administrative and program support to the Board on Aging and Long Term Care.

These services include fiscal, administrative, office management, procurement, and communications responsibilities.

This position provides technical support to the Executive Director and management team on office related matters prior to the implementation of agency decisions.


Core responsibilities include:

  • Manages operations of the agency's headquarters location in Madison.
  • Serves as liaison to the Department of Administration (DOA) Division of Enterprise Technology (DET) and as BOALTC's DISC (Division Information Systems Coordinator) for technology and security matters.
  • Serves as the information technology coordinator for BOALTC, coordinates software and hardware implementation and provides technology support to all agency programs.
  • Manages office space maintenance, supplies, training and travel for all staff and Board members.
  • Manages preemployment processes and IT aspects of staff onboarding and offboarding.
  • Serves as liaison to DOA in the areas of finance, operating budget, procurement, property and equipment, telecommunications, print and fleet.
  • Manage invoicing, billing, and purchasing and assist in budget management.
  • Performs special assignments and projects for the Executive Director and management team.


This position requires an understanding of the Board's function and objectives, the agency's mission, and the responsibilities of other state agencies.

This role requires possessing or acquiring a basic knowledge of long-term care, Medicare, and the agency's programs serving older adults and individuals with disabilities.

Salary Information:


  • The hourly rate for this position will be $ $33.36 per hour, plus excellent benefits. This classification is assigned to pay schedule/range This position is not exempt from the overtime provisions of the Fair Labor Standards Act (FLSA). A 12month probationary period will be required. Pay for current state employees will be set in accordance with the Wisconsin State Compensation Plan.

Job Details:


The incumbent will be required to possess a valid Wisconsin driver license that meets the State's Risk Management requirements to use fleet vehicles.

Due to the nature of the position, BOALTC will conduct background checks on applicants prior to selection. BOALTC does not sponsor work visas.

All persons hired will be required to verify identity and eligibility to work in the United States, and to complete the required employment eligibility form.


Qualifications:


Qualified applicants will have experience with the following:

  • Providing administrative support such as scheduling meetings, booking travel accommodations, creating meeting agendas, records management, handling mail, ordering supplies, or similar.
  • Performing fiscal duties such as purchasing, auditing expenses, managing/processing invoices, creating/maintaining budgets, tracking grant funding, or similar.
  • Providing and coordinating direct information technology (IT) support such as setting up computers for new hires, basic computer troubleshooting, requesting IT security access, liaising with an IT Helpdesk, or similar.
  • Leading projects with the intent to implement or improve a process.
  • In addition, wellqualified applicants will have experience with:
  • Communicating new policy or procedure changes to an individual or organization including guiding staff through the new changes.
  • Maintaining websites and/or SharePoint sites (providing design and technical guidance, including review and auditing of content, etc.).
