Responsibilities:

Appointment Scheduling:
- Coordinate and schedule appointments for clients based on availability, preferences, and urgency.
- Utilize scheduling software or systems to manage appointments efficiently.
- Ensure accurate data entry and maintain uptodate appointment records.
Client Communication:
- Answer inquiries related to appointments, services, and general information.
- Address client concerns promptly and professionally.
Collaboration:
- Work closely with other scheduling staff to optimize appointment availability.
- Communicate effectively with colleagues to ensure seamless coordination.
- Participate in team meetings and contribute to process improvements.
Documentation and Record Keeping:
- Maintain accurate records of client appointments, cancellations, and rescheduling.
- Update client profiles with relevant information.
- Prepare reports as needed for management.
Quality Assurance:
- Monitor appointment schedules to prevent conflicts and minimize wait times.
- Identify areas for improvement in scheduling processes.
- Strive for excellence in client satisfaction.
Compliance:
- Adhere to privacy regulations (e.g., HIPAA) when handling client information.
- Follow organizational policies and procedures related to scheduling and client interactions.
Qualifications:

Education: High school diploma or equivalent (additional relevant certifications are a plus).

Experience:
- Prior experience in appointment scheduling, customer service, or a related field preferred.
- Familiarity with scheduling software or tools.
Skills:
- Excellent communication skills (verbal and written).
- Strong organizational abilities and attention to detail.
- Ability to multitask and prioritize effectively.
- Proficiency in using computer software (e.g., Microsoft Office, scheduling platforms).
- Empathy and patience when dealing with clients.

- Friday, 8:00 am 5:00 pm).
