JOB TITLE: Operations Lead

LOCATION: Remote but must be within Chicagoland area

ROLE TYPE/DURATION: Permanent, salaried position

COMPENSATION: Up to $110,000 annual salary; commensurate with experience

JOB SUMMARY: The Operations Lead will support this marketing and creative agency's account, creative, and strategy teams to ensure client projects are executed to the highest standard, on time and within budget. Client work is focused within the healthcare space.

WHAT YOU WILL DO:

• Supports estimate/SOW development and follows up on SOW and PO status; closes projects and owns project retrospectives
• Maintains a database of freelancers, agencies, vendors and suppliers:
  • Onboards and trains new
  • Sets them up using the agency tools
  • Works with Account Coordinator and Video to assess need and budget, sources accordingly
  • Manages contracts, W-9, MNDA
  • Handles all scheduling, freelancer invoice processing, communications
• Update internal onboarding documentation and socialize/align with the team
• Own the creation and updates of internal process (includes owning DropBox, finding and consolidating samples and docs)
• Setup of internal/external meetings as needed
• Support agency marketing by working with the Managing Director and creative team on messaging and promotions for new service offerings (including whitepapers, blogs, social media, etc.)
• Manage ongoing agency Marketing and Communications materials
• Partner with the Account Team and update Account plans for monthly reporting (budget reconciliations, billing summaries, etc.)
• Measure project performance to identify areas for improvement and monitor projects for budget alignment
• Add external expenses to agency budget tracking

WHAT'S REQUIRED TO APPLY:

• 7+ years of operations and project management experience, preferably within a creative/marketing agency setting
• Healthcare experience is preferred but not required
• Highly proficient in Microsoft Office and PM tools such as Basecamp, Asana, Workfront, Trello, etc.
• Worked with cross-functional teams including, design, writers, UX, strategists, developers, video production, and vendors.
