The YWCA of Western MA is dedicated to eliminating racism and empowering survivors. The YW provides a safe place for survivors of domestic violence, sexual assault, and human trafficking.

Our programs and services include crisis shelter and transitional housing for survivors and their families, counseling, SAFEPLAN court advocacy, community education, supervised visitation, and vocational training for youth.

The YWCA provides services at several sites, including Holyoke, Northampton, Westfield, and our primary Springfield campus.


The YWCA is seeking a Billing Specialist. The Client Billing/AP Bookkeeper is responsible for the management of client billing including the issuing of invoices in accordance with vendor service agreements, grantor requirements, and best practices for fiscal stewardship. In consultation with the Accountant, the Client Billing / AP Bookkeeper will maintain and monitor client accounts as well as prepare regular reports regarding client billing, account receivables, and other related activities. The Client Billing / AP Bookkeeper is also responsible for maintaining accurate financial records. The Client Billing / AP Bookkeeper will work with program supervisors, and maintain a relationship with. The Client Billing / AP Bookkeeper will work closely with the Chief Financial Officer, generating reports and reconciling account transactions to ensure their accuracy.

Salary:
$60,000 Annually


Primary Responsibilities for the position include, but are not limited to:

  • Process and code Accounts Payable invoices for payment; verify all travel sheets, employee reimbursements and invoices for payment;
  • Ensure outside providers performing maintenance services provide proof of insurance and W9s;
  • Post approved payment requests in Financial Edge. Allocate expenses to appropriate contract/program and/or department;
  • Ensure all invoices are processed according to vendor terms; insure payments will be made before monthend close.
  • Reconcile Accounts Payable Other account on monthly basis
- updating activity on monthly basis in Excel file and balancing to General Ledger. Balanced reports to be reviewed by Accountant and then filed in Month End Workbook;

  • Create and submit student and intern stipends on a biweekly basis;
  • File paid Accounts Payable paperwork with copies of receipts for certain cost reimbursable contracts
  • Reconcile 1099 file on a monthly basis for preparation of year's end process;
  • Run monthly aging reports for VP of Finance in order to keep payables current.
  • Assist with month end close, including financial report development when needed;
  • Assist with annual audit

Qualifications

  • Associate's degree in finance, accounting, or business administration, or equivalent professional experience;
  • Experience in client billing, account receivables and analysis, and/or account management;
  • Knowledge of Generally Accepted Accounting Principles
  • Knowledge of Financial Edge or demonstrated experience with other accounting systems a plus;
  • Outstanding attention to detail, organizational, and communication skills;
  • Access to reliable transportation and valid driver's license required. Must be able to be covered by the agency's insurance policy.
  • Nonprofit experience with knowledge of nonprofit cost principles preferred;

Physical Requirements
Must be able to lift 40 lbs.

All employment at the YWCA begins with a 120-day Introductory Period.
