We are in need of an
_experienced__ _Full-Time Front Office Specialist to join our Outpatient Mental Health Clinic located in Waldorf, MD.

The Front Office Specialist is a vital position that contributes to the smooth operation of the clinic.

This position performs, coordinates and oversees administrative functions and projects and requires someone who is mature, reliable, professional, and takes initiative.

As a front office team member, excellent computer & customer service skills and proficient understanding and utilization of electronic medical record systems are a MUST


Priority will be given for applicants with previous front desk/back end or administrative experience in an outpatient mental health setting.

How You'll Contribute:


You always do whatever it takes, even if it isn't specifically your "job." In general, the Front Desk Specialist is responsible for ensuring the clinic runs smoothly.


  • Welcoming clients and visitors with a warm greeting, in person or on the telephone; answering or referring inquiries.
  • Taking accurate and detailed messages. When these pertain to clients, document these completely in clients chart and transmit them to the care team efficiently. When these do not pertain to a specific client, takes and forwards the message or transfers the call as necessary.
  • Work requires the analytical skills to gather and interpret data in situations in which the information or problems are relatively routine.
  • Collect, document and update patient demographic, insurance information into the EMR. Spelling accuracy is a MUST
  • Ensures all consents and intake documentation is completed/ signed prior to initial appointment.
  • Completing written medical records requests from patients, insurance companies, and third parties.
  • Obtain prior and concurrent authorizations for services and medications, weekly.
  • Scheduling all initial psychotherapy and psychiatry appointments, as well as followups.
  • Perform insurance eligibility verification and benefits check prior to, on the date of appointment and monthly.
  • Work as an billing and insurance liaison
  • Keeping client appointments on schedule by notifying provider of client's arrival; reviewing service delivery compared to schedule; reminding provider of service delays.
  • Comforting clients by anticipating clients' anxieties; answering questions
  • Maintaining all common areas.
  • Maintaining confidentiality of all providers, staff, and client information at all times.
  • Conducting health and safety and client satisfaction surveys
  • Participating in ongoing accreditation activities (charting auditing).
  • Other back end duties end duties as assigned.

Minimum Qualifications:

A minimum of 1 year of relevant medical front desk experience, preferably in a paperless environment:

  • Associates or Bachelor's Degree preferred
  • The ability to pass a criminal background check, upon acceptance of the position
  • Reliable transportation and the ability to arrive at work on time each day
  • Knowledge of health insurance plans and submission of billing OR willingness to learn
  • Proficiency in utilizing/navigating multiple patient medical record platforms (i.e., electronic medical record systems, registries or databases)
  • Possesses the personality and demeanor to work with difficult clients
  • Must be detailoriented, with the ability to multitask and followthrough without frequent reminders
  • Must show initiative; NOT requiring micromanagement of tasks once trained
  • Capacity to effectively communicate in difficult clinical situations and to motivate patients and others
  • Can balance between attention to detail and systemslevel thinking
  • Knowledge and interest in serving patients with mental health needs
  • Strong time management and organizational skills

Additional Information:


  • This is a Full Time,
    OFFICE BASED 40 hour per week position.
  • Hours are Monday through Friday from 9:005:30 with a 30minute unpaid lunch break.
  • The office dress code is business casual.
  • No evenings or weekends

Pay**:
Contingent upon RELEVANT FRONT DESK EXPERIENCE in a behavioral /mental health ENVIRONMENT using an EMR system.
