ENTRY-LEVEL ADMINISTRATIVE SPECIALIST OPPORTUNITY
We are currently seeking a motivated and detail-oriented individual to join our team as an
entry-level Administrative Specialist at Weas Engineering (an Apex Water and Process Inc. company) in our Westfield, IN, office In this role, you will provide essential support to various departments within the Company and play a big role in the overall smooth operation of our organization This is an excellent opportunity for someone who is eager to start their career in administration and grow professionally within a positive and supportive work environment at a fast-growing and dynamic company This is a full-time, hourly, non-exempt position offering a complete benefits package, including competitive PTO, a 401K with a company match, health, dental, vision, and life insurance. JOB SUMMARY:


The Administrative Specialist will be the face of the Company to both internal and external customers while greeting and signing in guests, answering incoming phone calls in a courteous and professional manner, coordinating special events such as in-house meetings and seminars, and providing administrative support to office and field personnel in a vareity of different ways.


JOB DUTIES:


  • Greet and sign in outside guests and connect them with appropriate personnel
  • Answer outside phone calls and direct them to the appropriate recipients
  • Coordinate special events (e.g. inhouse seminars, meetings, travel accommodations, parties, etc.)
  • Provide administrative support (e.g. filing, scanning, copying, data entry, etc.)
  • Provide backup support for customer service by processing customer orders, taking in lab samples, and performing a variety of other tasks
  • Maintain office supply inventories and marketing/promotional materials
  • General office upkeep
  • Other duties as requested

MINIMUM REQUIREMENTS:


  • High school diploma or equivalent
  • Pleasant demeanor and strong customer service skills
  • Ability to multitask
  • Strong attention to detail
  • Excellent oral and written communication skills
  • Experience/proficiency with Microsoft Office platforms (e.g. Word, Excel, Power Point, Outlook, etc.)
  • Adherence to all Company policies and applicable Standard Operating Procedures (SOPs)

PREFERRED REQUIREMENTS:


  • Associate?s degree or higher
  • Previous administrative experience
  • Ability to work as part of a team
  • Ability to manage multiple tasks/competing priorities
