A nonexempt, clerical position responsible for serving patients by greeting them, scheduling appointments, maintaining records and accounts, receiving incoming telephone calls in a prompt, courteous, and professional manner and greeting/assisting patients/visitors in the same manner.

This position will have a significant degree of clerical functionality. These functions include filing, photo copying, typing, and scanning documents as needed.


Essential Job Responsibilities:


  • Photocopy, files, scans, types and organizes as required and directed by the Practice Administrator or Office Manager.
  • Promptly and professionally welcomes patients and visitors in person and answers telephone calls and referring inquiries. Routes calls appropriately, offering voice mail, paging, or redirection of calls as needed.
  • Greets visitors/patients and assists them as appropriate. Phones or pages employees to meet visitors, directs visitors to appropriate waiting areas, and appropriately and courteously screen solicitors for relevance to organization needs.
  • Explains financial requirements to the patients or responsible parties and collects copays as required.
  • Maintains patient's accounts by obtaining, recording and updating personal and financial information.
  • Optimizes patient's satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by phone.
  • Keeps patient appointments on schedule by notifying provider of patient's arrival.
  • Comforts patients by anticipating patient's anxieties; answering patient's questions, and maintaining the reception area.
  • Ensures availability of treatment information by filing and retrieving patient's records.
  • Maintain business office inventory and equipment; check inventory, keeping in stock supplies, and scheduling service appointments for equipment.
  • Helps patients in distress by responding to emergencies.
  • Protects patient rights by maintaining confidentiality of personal and financial information.
  • Maintains operations by following policies and procedures; reporting needed changes.
  • Contributes to team efforts by accomplishing related results as needed.
Provides routine services in a collaborative team approach in the Practice.

Works in coordination with the Care Team(s) within the Practice to provide patient care that follows the Patient-Centered Medical Home model.


  • Other duties as assigned.

Education:

High school diploma or equivalent.


Experience:

One year of experience in customer service or reception, preferably in a health care environment.

  • Knowledge:_
  • Knowledge of medical terminology and organization services.
  • Knowledge of individual responsibilities to accurately direct callers.
  • Knowledge of photocopying, typing, scanning, filing and other office basics a must.
  • Skills:_
  • Ability to use multiline phone system, including transferring calls and paging.
  • Adequate hearing to answer phone and speak with patients.
  • Ability to speak clearly and loudly enough to be heard by callers and patients.
  • Ability to multitask, flexibility, customer service, time management, organization and attention to detail, scheduling, word processing and professionalism.
  • Interpersonal skills that lead to excellent team performance.
  • Abilities:_
  • Elicits appropriate information to route calls to the appropriate person.
  • Prevents, calms, or defuses irate callers and patients by working with them to identify concerns and properly directs calls.
  • Willingness to do whatever clerical function is needed for smooth operation.

Equipment Operated:
Standard office equipment including computers, fax machines, copiers, printers, telephones, etc.


Work Environment:
Position is in a well-lighted office environment. Occasional evening and weekend work.


Mental/Physical Requirements:
Involves sitting approximately 90 percent of the day, walking or standing the remainder.
