Under supervision of the Director of the Waivers and Community Services (W/CS) Unit of the Intellectual and Developmental Disabilities Utilization Review (IDD UR) Section of the Health and Human Services Commission (HHSC), the Administrative Assistant II provides (journey-level) administrative support functions with limited latitude for the use of initiative and independent judgment.

The Administrative Assistant II assists the W/CS unit by completing document requests, which includes requesting documents from external providers and maintaining spreadsheets to track documents that have been submitted.

Additional duties include, answering and routing phone calls, routing mail, files, and orders, maintaining office supplies for both state office and regional staff, and creating, maintaining and entering information into databases.

Will assist with maintaining schedules and calendar events, scheduling rental cars and hotels for regional staff, and other related work as assigned.


Essential Job Functions:


Attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned.


  • Tracks unit deliverables, assists with document requests, and makes professional staff assignments. (35%)
  • Schedules training and meeting rooms, hotels and rental cars, and provides coordination support for training events. (15%)
  • Produces unit reports, letters, and documents. (10%)
  • Prepares, routes, tracks and distributes a variety of documents. (10%)
  • Ensures response to inquiries regarding unit and agency processes and procedures. (10%)
  • Orders supplies, answers the telephone, routes messages. (10%)
  • Faxes correspondences and distributes mail. (10%)

Knowledge Skills Abilities:

Experience performing complex clerical and administrative support duties with attention to detail.

  • Experience in word processing, spreadsheet development and database systems.
  • Ability to communicate clearly and in a manner that promotes good customer service to include providing technical assistance or directing inquiries to the right source.
  • Skill in the use of standard office equipment and software.
