PHYSICAL THERAPY SCHEDULING COORDINATOR

JOB TITLE:
Physcial Therapy Scheduling Coordinator


DEPARTMENT:
Physical Therapy


REPORTS TO:
Manager of Physical Therapy


FLSA STATUS:
Non-Exempt


JOB SUMMARY:

Position interacts with patients, therapists, staff, and other professionals for the purpose of scheduling physical therapy patients, coordinating and communicating their benefits, ensuring the schedule is optimally maintained, and ensuring the efficient and effective operation of the administration of the department.


TYPICAL PHYSICAL DEMANDS:


  • Prolonged sitting, standing, some bending, stooping and stretching and/or walking
  • Eyehand coordination and manual dexterity sufficient to operate a computer keyboard, photocopier, fax machine, telephone, calculator, and other office equipment
  • Normal range of hearing and vision to record, prepare, and communicate appropriate reports

TYPICAL WORKING CONDITIONS:


  • Work is performed in an office environment, with contact with patients, office staff, physicians, etc.
  • Overtime as required

JOB DUTIES & RESPONSIBILITIES:


  • Prepares physical therapy office for daily activities
  • Continuously reviews therapists' schedules and utilizes waiting list to ensure that therapy slots are filled appropriately
  • Schedules patients for therapy, by phone or in person
  • Ensures that therapists and front desk personnel understand each patient's level of benefits and the patient has not exceeded the total visits allowed
  • Ensures that therapists are correctly coding and charging for each visit
  • Ensures that copays and deductibles are consistently collected at the front desk
  • Prepares forms for patients to complete prior to starting and while undergoing treatment
  • Tracks visits and insurance authorizations
  • Ensures physical therapy orders are in place and valid
  • Confirms therapy appointments
  • Explains level of benefits to patients when needed
  • Assists therapists and techs in their administrative responsibilities
  • Maintains accurate and timely patient information in Centricity database
  • Answers phones for the therapy department
  • Fills in at front desk when necessary
  • Prepare reports as requested by Manager of Physical Therapy
  • Attends staff meetings and participates in special committees
  • Other duties and assignments as necessary

  • Reports to work regularly without undue tardiness
  • Maintains positive attitude and demonstrates the utmost in professionalism at all times
  • Dresses appropriately and professionally
  • Works independently, without direct supervision
  • Completes work accurately and in a timely manner
  • Excellent oral, written & telephone communication, along with tact, diplomacy, and a strong customer service orientation
  • Prioritizes work activities and accepts multiple job duties
  • Maintains effective working relationships with physicians, therapists, administration and other staff members

EDUCATION & EXPERIENCE

  • Prior experience in therapy office setting is helpful
  • Some knowledge of medical terminology desirable, but not mandatory
