    About the Position:
    The purpose of the Division of Student Affairs is to transform the lives of our students academically, personally, and professionally, equipping all with the knowledge and skills required for success at Cal State Fullerton and beyond degree completion. We are seeking an exceptional individual to join our team as the Front Desk Coordinator (Administrative Support Coordinator I). The ideal candidate in this role should have a positive attitude and an active, energetic mind that is characterized by highly ethical practices and a commitment to diversity, openness, flexibility, integrity, and kindness.
    Under the general direction of the Chief of Operations, the Front Desk Coordinator provides coordination of general office and clerical support for the Vice President for Student Affairs (VPSA) Office and serves as the primary administrative support for the Chief of Operations and Operations Team. Solves operational problems, makes suggestions for process improvements, and interprets guidelines to solve issues. Utilizes discretion and independent judgment in handling confidential materials and sensitive situations via phone, mail, and in person. Efficiently performs various clerical tasks and standard office procedures, adheres to deadlines, and adjusts priorities in a high-energy and dynamic environment.
    As the front-line staff person, the Front Desk Coordinator provides first-point-of-contact customer service to a diverse population including students, faculty, staff, administrators, parents, and campus visitors, utilizing tact and sensitivity. Facilitates daily operations by providing reception duties, including answering telephones, assisting with phone and in-person inquiries, distributing mail, and maintaining computer files. Orders, receives, distributes, and organizes office supplies. Maintains a clean and organized office environment for the Vice President (VP) Executive Suite. Oversees the Vice President for Student Affairs (VPSA) office's conference room calendar and manages the division's general email accounts and the reconciliations of several purchasing cards (P-cards). Serves as the primary Department IT Coordinator for the Vice President for Student Affairs Office and backup Department IT Coordinator for the entire division. Hires and manages schedules and payroll for all student employees hired by the Vice President for Student Affairs Office. Coordinates and distributes paychecks for professional and student staff on a biweekly basis. Supports the Vice President for Student Affairs Office with travel arrangements, parking permits, reservations, and coordination of lunch orders and catering. Assists with the processing of travel documents and special projects as needed. Other duties as assigned.
    Essential Qualifications:
    High School diploma or the equivalent and four years of progressively responsible experience in general office, clerical or secretarial work or the equivalent. Thorough, detailed knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of English grammar, punctuation, and spelling. Thorough knowledge of office systems with the ability to use a range of technology, systems, and software packages. Ability to independently handle multiple work unit priorities and projects. Ability to apply a variety of policies and procedures where specific guidelines may not exist. Working knowledge of budget policies and procedures. Ability to perform standard business math including calculating ratios and percentages, tracking financial data, and making simple projections. Ability to draft and compose correspondence and standard reports. Ability to effectively handle a broad range of interpersonal contacts including those at a higher level and those sensitive in nature.
    A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.
    Preferred Qualifications:
    Experience to be fully functional in all technical aspects of work assignments. Ability to understand and operate in a variety of organizational structures. Bachelor's degree from an accredited four-year college or university and/or previous experience working in a higher education setting.
