Medical Office Manager
Roles and Responsibilities:
Practice Management:
- Oversee the overall management of the medical office, including staff supervision, budgeting, and resource allocation.
- Develop and implement policies and procedures to ensure efficient and compliant operations.
- Monitor and evaluate office performance, identifying areas for improvement and implementing necessary changes.
Staff Supervision:
- Recruit, train, and supervise office staff, ensuring they adhere to professional standards and provide excellent patient care.
- Conduct regular performance evaluations and provide constructive feedback and coaching.
- Foster a positive work environment, promoting teamwork and professional development.
Patient Care:
- Ensure that patients receive highquality care and have a positive experience in the office.
- Oversee appointment scheduling, patient registration, and billing processes to ensure accuracy and efficiency.
- Address patient concerns and complaints in a timely and satisfactory manner.
Compliance and Regulatory Requirements:
- Stay uptodate with healthcare regulations and ensure the office's compliance with HIPAA, OSHA, and other relevant laws.
- Implement and maintain appropriate recordkeeping and documentation practices.
- Coordinate internal and external audits to ensure compliance with regulatory standards.
Financial Management:
- Monitor and manage the office's financial operations, including budgeting, billing, and collections.
- Collaborate with billing and coding staff to ensure accurate and timely reimbursement.
- Identify opportunities for costsaving measures and revenue enhancement.
Technology and Systems:
- Oversee the implementation and maintenance of electronic health record (EHR) systems and other technology platforms.
- Coordinate with IT support to address technical issues and optimize the use of technology in the office.
- Train staff on the proper use of technology and ensure data security and privacy.
Communication and Collaboration:
- Foster effective communication and collaboration among staff, physicians, and other healthcare providers.
- Serve as a liaison between the office and external stakeholders, including insurance companies, vendors, and regulatory agencies.
- Participate in interdisciplinary meetings and contribute to the development and implementation of strategic initiatives.
Qualifications:
- Bachelor's degree in healthcare administration, business administration, or a related field (Master's degree preferred).
- Minimum of 5 years of experience in healthcare administration, with at least 2 years in a managerial role.
- Knowledge of medical terminology, billing and coding processes, and healthcare regulations.
- Strong leadership and team management skills.
- Excellent communication and interpersonal skills.
- Proficiency in EHR systems and other medical office software.
- Detailoriented and highly organized.
- Ability to prioritize tasks and handle multiple responsibilities simultaneously.
- Problemsolving and decisionmaking abilities.
