Responsibilities included but not limited to:

  • Be the secondary person that answers and directs all incoming calls within the company
  • Provide general front office support in addition to supporting other departments as needed
  • Greet all guests, customers, vendors and deliveries and direct them to the appropriate individual(s) within the firm
  • Manage company calendar and scheduling appointments
  • Maintain inventory of office supplies
  • Perform general clerical duties to include but not limited to: faxing, scanning, mailing and filing
  • Double Check all Scans and Files for all client's paperwork accordingly.
  • Review and prepare general correspondence using Microsoft programs
  • Utilize and create Excel spreadsheets
  • Light Housekeeping
  • Assist with special projects as necessary
  • Run errands
  • Other duties as assigned

Requirements:


  • Attention to detail is a MUST
  • Experience with Microsoft Office including Word, Excel and Outlook
  • Pleasant and professional phone voice
  • Ability to efficiently handle a multiline telephone system, direct calls accordingly and promptly relay accurate messages
  • Excellent communications skills
  • Exceptional customer service
  • Ability to work both independently and in a team environment
  • Must work well with others and have a cando attitude
  • Ability to organize, multitask and prioritize detailed work on multiple, concurrent tasks with frequent interruptions
  • Great level of reliability and accountability
  • Proficient in English reading and writing
  • Maintain confidentiality regarding client information

Education and Experience:


  • High School diploma or GED, Required
  • The legal authorization to work in the US for any US employer without limitation
years of experience with reception and administrative duties

  • Basic knowledge of accounting is helpful.

Work Environment, Schedule and Benefits:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Our normal business hours are Monday - Friday 8 am - 5 pm. Some overtime is available at peak times.

Paid Time Off is available. We currently offer health insurance, dental, vision and supplemental insurance is available.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.


While performing the duties of this position, an employee is regularly required to sit for long periods, stand, talk and hear both in person and by telephone, use hands to operate and handle office equipment, and reach with hands and arms.

The employee is required to walk, climb, stoop or bend and lift up to twenty-five pounds.
