Essential Duties include the following. Other duties may be assigned.


Curriculum Management (20%)

  • Vet proposals for changes to courses and programs at the undergraduate level, check the validity of proposed changes, and ensure that changes have the necessary approvals.
  • Manage course and program curricular changes at the undergraduate level. Process changes in the student information system, degree progress reports, and the college catalog.
  • Develop and publish the college catalog, including academic and nonacademic information, for both undergraduate and graduate student populations, each academic year.

Academic Calendar and Course Schedule (20%)

  • Develop the academic calendar for each academic year, including longrange planning, in consultation with appropriate administrators, faculty, and staff. Ensure academic calendars are published on the registrar website, in the college catalog, and dates are entered accurately in the student information system.
  • Develop and publish class schedules in coordination with academic departments for each of the five terms in which courses are held (fall, winter, spring, summer I, and summer II).
  • Ensure systems used to develop class schedules are working correctly and collaborate with IT to make system enhancements to course scheduling tools.
  • Cancel courses that are determined to be underenrolled that should not run.
  • Assign classrooms to courses and ensure that all courses are assigned an instructor. Process room changes as requested. Resolve room conflicts

Registration (10%)

  • Oversee the registration process for all students. Work with various academic departments and IT to streamline registration processes wherever possible.
  • Monitor systems used for registration. Make schedules viewable prior to advising weeks starting. Make registration active according to dates in academic calendar.
  • Process registration permissions and registration requests as necessary.

Records (10%)

  • Create and maintain data standards for entering student information, updating student records, and retaining student records.
  • Assign academic standing to undergraduate student records after each fall and spring semester.
  • Complete the I6 audit and ensure enrollment is accurately captured and reported to the Maryland Higher Education Commission (MHEC).
  • Assist with financial aid audits and audits done by the VA Office.
  • Serve as the gatekeeper of student records. Ensure the integrity and confidentiality of student records, and serve as the FERPA expert on campus.

Supervisory Responsibilities (40%)

  • Supervise the registrar team consisting of four fulltime staff members. Provide leadership and support to the Registrar team including cross training, professional development opportunities, and goal setting.
  • Oversee the operations of the registrar's office. These include the areas of registration, records, transcript evaluation and transfer credit, graduation and degree conferral, and enrollment reporting for both graduate and undergraduate students.
  • Partner with various offices on campus to support the needs of the College community and engage in projects and initiatives. Collaborate with academic departments, Student Success, IT, Institutional Research, faculty, Financial Aid, the Dean of Students Office, and the Graduate School.
  • Advocate for the technical needs of the office, and collaborate with IT to make system enhancements and utilize technology to streamline various registrarrelated processes.
  • Provide a clear vision for the Office of the Registrar, including the creation of office goals in alignment with the College's strategic plan and institutional priorities.
  • Send campuswide communication to various constituents that include helpful tips and reminders regarding records, registration, roster verifications, and grades.
  • Prepare internal and external reports, including data analysis to support College planning and retention efforts.
  • Serve as a member of Provost Council, Curriculum Committee, and Academic Standards and Policies.
General working hours are Monday through Friday, 8:30 a.m. - 5 p.m. Evening and weekend hours may be needed.

Education and/or Experience

Minimum Requirements/Qualifications

  • Ten years of increasingly responsible experience in higher education in a student service, planning, and recordrelated environment. Direct experience in a college or university Registrar's Office is required. Supervisory experience is required.
  • A bachelor's degree is required.

Preferred Skills and Characteristics

  • A master's degree is preferred. Understanding of enrollment theory is preferred. Experience with PowerCampus and Self-Service is a pl
