Full Job Description

  • Front Office Lead/Supervisor_
Vascular & Interventional Partners (ViP) is Arizona's only comprehensive Interventional Radiology private practice. The group wants to add a highly motivated and enthusiastic Front Office Lead to join our practice.

ViP is a growing, multi-specialty radiology practice with 7 radiologists and 5 Advanced Practice Providers (APP), providing comprehensive imaging services in inpatient and outpatient settings.


The group currently covers two sites:

Banner University Medical Center Phoenix (a 700+ bed Level 1 Trauma Center), as well as an Office-Based Lab (OBL) in North Scottsdale.

The group provides the full spectrum of IR care, including outpatient ambulatory consultations, and the full spectrum of IR procedural care both in the OBL and the hospital.


Under the supervision and direction of the Director(s), the Front Office Lead is responsible for effective workflow at the Office Based Lab.

The Front Office Lead is a working leader who is proficient in administrative duties including financial and referral processes as well as possesses knowledge of back-office tasks and flow.

The Office Lead oversees the staff to ensure procedures and tasks are completed correctly and to ViP's standards with a specific focus on patient flow and customer service.


Preferred Qualifications

  • High School Diploma or equivalent
  • Must have: 2 years or more experience in a managerial/supervisory role
  • Must have: 2 years or more medical office experience
  • Must show strong organizational skills, efficiency, and resourcefulness.
  • Must be flexible and able to function in a fastpaced environment.
  • Must possess strong decisionmaking skills.
  • Proficiency in using electronic medical record (EMR) systems such as eClinicalWorks.
  • Familiarity with medical office procedures and terminology.
  • Intermediate knowledge of insurance providers. Their portals, and their expectations for authorization approval.

Primary Responsibilities

  • Assist the Director(s) in ongoing clinic and office oversight.
  • Assesses workload to ensure proper staffing levels are met.
  • Help recruit, hire, and supervise staff in coordination with intermediate supervisor.
  • Prepare agenda for front office meetings, provide training of front office staff; report front office needs to the director.
  • Tracks and manages employee attendance and punctuality. Monitors the use of overtime and approves time off.
  • Handles site performance management including performance evaluations and disciplinary actions.
  • Handles difficult patient interactions, answers questions, and responds to complaints professionally and timely.
  • Serves as both a resource and as an interface for the site providers and administration.
  • Complete purchase orders/invoice process for office supplies.
  • Ensure that the office follows policies and procedures.
  • Assist in developing, implementing, and revising policies and procedures.
  • Oversee administrative assistants, auth & eligibility, scribes, and medical assistants.
  • Understand the financial goals and objectives of the practice.
  • Customer Focus understands and satisfies customer needs.
  • Greet and assist patients, visitors, and vendors
  • Be an example of a positive attitude and exceptional customer service delivery.
  • Promote team building and strong communication between various service lines and locations.

Pay:
$ $28.00 per hour
