Essential Duties and Responsibilities (Other duties may be assigned)

  • Interacts professionally with the public (members, contractors, employees, etc.) and maintains a professional appearance.
  • Responsible for working with the Community Manager to maintain efficient operations of the Community Association Office. This includes updating the office standards of operating procedures as needed to streamline work processes.
  • Assist with inspections during the annual inspection process, complaint inspections, and resale inspections as needed.
  • Coordinate with office staff to ensure that resident complaints are reviewed and can be acted on by the appropriate staff member.
  • Receive and process incoming payments for homeowner dues, nonresident membership fees, and facility rental fees.
  • Create and mail Welcome Packets to new residents.
  • Attend all monthly Covenants Meetings, taking/producing the monthly meeting minutes and assisting in maintaining documentation of approvals and denials. Develop a full understanding of due process for the Association with regard to covenants violations. Work closely with the Covenants Inspector/Assistant Manager tracking resident correspondence.
  • Coordinate homeowner rentals of the Community Center in accordance with the Clubhouse Rental Policy Resolution. This includes providing information and documentation upon request; receiving, processing, and sending confirmation to owners upon receipt of the completed Rental Agreement with payment; and maintaining the Rental Book and Website Rental Calendars.
  • Attend and contribute to weekly office team meetings and assist with various office functions and duties as requested, such as assisting the Community Manager, Covenants Inspector, or Maintenance Technician as needed.

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.

The Administrative Assistant must have a range of interpersonal and technical skills and display a willingness to learn the knowledge of the industry to perform their duties efficiently, share accurate information with residents, and help their team meet goals promptly.

Certificates and Licenses:

From $18.00 per hour
