_Friends of Children and Families is seeking an Administrative Assistant to provide support to the Leadership team._

RESPONSIBILITIES:


  • Complies with all policies and procedures.
  • Assist and support management in the performance of daily tasks to include but not limited to; filing, document creation/revision, reception, and telephone support.
  • Maintain current database files for training logs and expiration dates, employee phone list and employee birthday list.
  • Create employee name badges.
  • Track company equipment distribution.
  • Works in conjunction with our IT team to resolve technical issues.
  • Place Sunshine Health orders.
  • Assist with taking meeting minutes as assigned.
  • Works with a variety of electronic database systems to maintain and organize agency data; assist with scanning of documents for database.
  • Participates in agency's continuous quality improvement efforts.
  • Sends out Daily Census regarding placement openings.
  • Assists with preparing monthly, quarterly, and other reports required by agency and agency partners.
  • Assists with purchasing of offices supplies and other items required for agency programs.
  • Assist with scheduling interviews.
  • Assist with billing for various programs.
  • Provide social networking support as needed, ensuring all information is updated and correct, i.e. Facebook and website.
  • Compose appointment calendar for the group homes.
  • Maintain calendars for Leadership.
  • Keeps the CEO regularly informed.
  • Carries out the directives of the CEO
  • Pays attention to detail and produces error free, timely and accurate reports.

  • Provide support and assistance on special projects, as needed.
  • Complete additional responsibilities as assigned by management.

QUALIFICATIONS:

Prefer experience, education, or training in office support. Must possess administrative and organizational skills, strong computer skills in all Microsoft products and well written/verbal communications skills.
