The Role:
Administrative Support Specialist


What You'll Do:


You'll provide high-level administrative support to the Executive Director and other senior staff: calendar management, meeting scheduling and logistics, database and document management, board meeting and tour preparation, and office administration.

You'll be mission-focused and demonstrate previous experience successfully collaborating with all levels of teammates, volunteers, community, and board members.

  • Schedule meeting, tours, and other VSH events, coordinating staff and external partners' calendars, facilities, travel plans and logistics
  • Assist with creation and compilation of materials such as Board packets, benefit open enrollment materials, presentations, mailings, budget reports
  • Enter and maintain data in Excel, Bloomerang, tax credit and other databases
  • Proofread materials, spreadsheets, communications and presentations for accuracy
  • Organize, file and shred various documents, upload documents and materials to databases
  • Monitor/order office supplies, furniture, appliances and electronics, maintain vehicle and cell phone data
  • Assist in conducting reference checks and phone screens
  • Retrieve incoming mail from the VSH P O Box, open and sort mail to recipients

What You'll Bring to VSH:


  • High school diploma required, bachelor's degree in business administration or related field preferred
  • At least four years of related administrative experience
  • Excellent grammar, verbal and written communication skills with all levels of staff, Board members and the community
  • Extremely proficient with Outlook calendar, Microsoft Office (especially Word, Excel and PowerPoint) with the ability to learn new or updated software
  • Experience using Bloomerang or other fundraising software programs
  • Excellent organizational skills, confidentiality/discretion, and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines and change priorities
  • Ability to function well in a fastpaced and at times stressful environment with tact and patience
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems
  • Able to type a minimum of 50 words per minute with accuracy
  • Valid driver's license and ability to meet VSH driving requirements
  • Ability to successfully pass a background check and other preemployment screening
