Summary:

The Administrative Assistant oversees and supports physicians, advanced practitioners, and administrative operations of fertility practice.


This position is located at our Baystate Medical Office location, in Springfield, MA and is full-time Monday -Friday, 9:00am to 5:00pm.


Essential Duties and Responsibilities:


  • Responsible for the preparation of clinical schedules within our EMR system and administrative preparation.
  • Direct communication with patientstriaging calls, confirmation of demographic information
  • Ensures charts are prepared for clinical appointments with physicians and APP teams prior to appointments.
  • Processing payments and maintaining logs/receipts
  • Responsible for the processing/scanning and tracking of medical records, insurance cards and photo IDs.
  • Interacts in a positive and sensitive manner with patients and their families.
  • Manages clinical, research, education and nonclinical schedules for physicians and advanced practitioner team.
  • Coordinates care for patients
- schedules appointments both within BostonIVF and at outside facilities.

  • Educates patients on requirements of their insurance plans and tracks receipts of referral and prior authorizations.
  • Obtains prior authorization for procedures scheduled at outside facilities.
  • Communicates clearly and effectively with all departments.
  • Responsible for maintaining the appearance of the waiting area and stocking the coffee/tea stations
  • Mail, retrieve, sort, and distribute outside and interoffice mail, post outgoing mail.
  • Able to adapt to meet the needs of the clinic.
  • Additional duties assigned as needed by the organization.

Requirements:


  • High School Diploma
  • Two (2) years of experience in a medical office setting
  • Microsoft Suite experience

Pay:
$ $22.00 per hour

Expected hours: 40 per week
