Position Description


Performs administrative support-related work in a maintenance office or district headquarters and for one or more projects and/or specialized programs.

Work requires contact with high-level managers, executives, governmental officials and private entities. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.


Essential Duties for the Maintenance Support Tech III include:

  • Creates and maintains related activity logs, files and reports on services.
  • Inputs and maintains daily production reports and compiles monthly reports for manager.
  • Answers the telephone, evaluates requests, answers questions, routes messages, and/or serves as receptionist or front desk assistant.
  • Composes and prepares correspondence and applicable recurring or special one-time reports and/or confidential and sensitive communications.
  • Conducts monthly spot inventories, verifies inventory findings, reconciles and coordinates with Business Services on adjustments needed.
  • Edits correspondence, reports, forms, and documents for proper format, spelling, grammar, punctuation, typographical errors, syntax, style, sentence structure, content, and clarity.
  • Maintains and updates office files/records/logs and a wide variety of automated systems in support of personnel, finance, budgeting, maintenance, inventory, contracts, purchasing, travel information, and/or permitting activities.
  • Monitors and assists with data entry for maintenance contract record keeping.
  • Maintains calendars for department personnel to include scheduling meetings, coordinating and making appointments, and travel arrangements.
  • Processes receipts and invoices for payment.
  • Performs other job responsibilities as assigned.

Essential duties for the Maintenance Support Tech IV include all of the above and:

  • Composes and prepares correspondence and applicable recurring or special one-time reports and/or confidential and sensitive communications.
  • Coordinates and tracks the progress of projects and/or specialized programs and informs supervisor or other Department officials of status.
  • Monitors and maintains suspense logs, records and various files.
  • Processes change orders, supplemental agreements, and extra work orders.
  • Prepares monthly and final maintenance contract estimates.

Minimum Qualifications:


Education:
High School Grad or Equivalent in general education.


Experience:


  • Maintenance Support Tech

III:
3 years in administrative or clerical support, customer service, or related experience.

  • Maintenance

Support Tech IV:
4 years in administrative or clerical support, customer service, or related experience.

(Experience can be satisfied by fulltime or prorated parttime equivalent). _College education and/or relevant technical training may be substituted for experience on a year per year basis._ Substitutions for Minimum Qualifications
