We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors, clients, and team members, ensuring a positive and professional experience. Responsibilities
- Greet visitors warmly and professionally, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
- Handle incoming correspondence, emails, and inquiries with efficiency and professionalism
- Maintain appointment calendars, schedule meetings, and coordinate calendar management for staff or executives
- Perform data entry, filing, and document proofreading to ensure accuracy and organization within office systems
- Support office management tasks such as supply inventory, basic bookkeeping using QuickBooks or similar software, and record keeping
- Assist with clerical duties including typing reports, organizing files, and supporting customer service efforts
Requirements
- Proven experience in office management or administrative support roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Excellent computer literacy with the ability to learn new software quickly
- Strong typing skills and attention to detail for proofreading documents and data entry tasks
- Experience with multi-line phone systems and professional phone etiquette
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Previous experience as a dental or medical receptionist is a plus but not required; familiarity with healthcare or dental office procedures is beneficial
- Demonstrated customer service skills with a friendly attitude and effective communication style
- Ability to manage time efficiently in a fast-paced environment while maintaining accuracy in all tasks
