    CLASS DEFINITION:

    Performs a variety of detailed and responsible clerical accounting duties in the preparation, maintenance, review, auditing, and processing of financial and statistical records, reports, and claims relative to accounts payable, accounts receivable, and/or payroll; performs special projects for the District's administrative and/or customer service units; provides back-up in performing a variety of general clerical and customer service duties; responds to requests and inquiries from vendors, customers and staff; and performs related work as required.

    DISTINGUISHING CHARACTERISTICS:

    The Senior Customer Service Representative is the advanced journey level of the Customer Service classification and is considered the technical expert of the series with the knowledge and authority to handle more complex issues than those handled by the Customer Service Representative. This classification is distinguished from the Customer Service Representative classification by the scope and complexity of duties and responsibilities and the higher level of independent judgment and authority exercised in the performance of position duties and responsibilities.

    SUPERVISION RECEIVED/EXERCISED:

    The incumbent receives limited supervision from the District's Finance Manager within a framework of standard policies and procedures and will be required to supervise the Customer Service Representatives and Building Monitors as well as provide technical guidance to other District staff performing clerical activities.

    EXAMPLE OF ESSENTIAL JOB FUNCTIONS:


    Responsibilities and duties include, but are not limited to the following:

    • Provides lead direction and training to the Customer Service Representatives and Building Monitors; assigns and coordinates and monitors work efforts.
    • Participates in the control and maintenance of accounts receivable and/or account payable documents and records.
    • Maintains a variety of ledgers, registers, journals and logs according to an established account structure.
    • Performs a variety of general clerical and support duties such as scheduling Building Monitors and security for events and programs, tracking employee vehicle insurance coverage, typing, proofreading, copying and appropriately distributing a variety of documents, correspondence, items and materials, ordering business cards, and a variety of other office supplies.
    • Processes Property Loss Claims for the District.
    • Obtains required customer information to complete agreements and process requests to reserve the use of District facilities and/or to complete registrations for District programs; develops, maintains program rosters and other related records, updates computer files and generates a variety of summary reports.
    • Calculates amount of facility cleaning deposits, refunds, and payments due based on written guidelines.
    • Receives customer payments and deposits, makes change, and issues receipts.
    • Research customer records and respond verbally and/or in writing to more complex customer inquiries.
    • Establishes, sorts, files, locates, and maintains a variety of records and documents according to a standardized filing system; records and tracks a variety of office and customer account information.
    • Is the primary contact for large event and special event reservations.
    • Performs other job-related duties as required.

    EMPLOYMENT STANDARDS:


    Any combination of education and experience that would provide the required knowledge and abilities is qualifying. A typical path to obtain the required knowledge and abilities would be:


    Education and Experience Guidelines:

    • Two (2) years of increasingly responsible experience performing a wide variety of office support and customer service work similar to duties performed by a Customer Service Representative for the Sunrise Recreation and Park District.
    • Equivalent to the completion of the twelfth grade.
    • Specialized training in office skills is highly desirable.

    Licenses/Certification Required:

    • Possession of a valid class C California Driver's license and a satisfactory driving record.
    WORKING CONDITIONS:

    Environmental Conditions:

    Office environment with controlled temperature. Incumbents work closely with the public and other District personnel.

    Physical Conditions:

    Work is performed in a dynamic environment requiring attention to detail while interacting with the public in person and on the phone. Clerical duties necessitate prolonged periods of sitting and viewing data on a CRT screen; and require finger and hand dexterity for extensive use of a personal computer or typewriter.
