Monday to Friday; 10:00 PM to 6:00 AM

Summary


The Program Monitor serves as the frontline representative of Swords to Plowshares property management, responsible for upholding safety and security protocols.

They welcome tenants and visitors, oversee building traffic, maintain building security, and facilitate effective communication with residents, guests, service providers, and colleagues.

As integral members of the site team, they contribute to maintaining excellent customer service standards, cleanliness, and a safe environment.

Additionally, they provide round-the-clock security and promptly respond to building and tenant emergencies.

Program Monitors must demonstrate professionalism, courtesy, and respect towards tenants and guests while enforcing property regulations and fostering a hospitable atmosphere.

This role reports to the Assistant Property Manager.

  • Provide courteous and professional service to Residents and their guests while maintaining appropriate boundaries.
  • Screen all visitors entering the building, inform them of the visitor policy, check visitor ID, and sign visitors in and out of the building.
  • Promote compliance with building policies, including communicating denial of entry to visitors who violate the rules.
  • Keep the front desk tidy and presentable with all necessary materials (pens, forms, paper, etc.).
  • Answer all incoming calls and redirect them or take messages.
  • Assist tenants with questions, completion of work orders, incident reports, and address complaints. Replenish and make copies of all necessary paperwork, work orders, incident reports, and grievance forms.
  • Receive letters, packages, etc., log all letters and packages received in Activebuilder, and distribute them.
  • Complete accurate daily shift reports and incident reports prior to the completion of the shift. Ensure all communications and building activity, including unusual events and violations of community rules, visitor policy, and other pertinent building policies, are documented.
  • Assist with office responsibilities such as completing work orders, comment cards, visitor violation forms, and other duties assigned by management.
  • Maintain 86 list and inform Property Management of any updates.
  • Maintain complete and accurate building logs (visitor log, vendor log, overnight log, daily log).
  • Attend monthly program monitor meetings.
  • Investigate residence floors when necessary and appropriate (e.g., noise complaints, facilities issues, etc.).
  • Respond to emergencies by calling the appropriate emergency services (i.e., police, ambulance, fire department) and oncall staff. Act as a resource in emergency situations.
  • Attend and actively participate in staff meetings and training as assigned by your supervisor, including mandatory meetings held outside of scheduled work hours.
  • Must be able to perform all tasks as assigned by management with what would be considered reasonable accommodation. Maintain regular communication with treatment and property management staff to ensure effective support for veteran residents.
Requirements & Qualifications

  • An understanding of and experience working with the issues of homelessness.
  • Commitment to helping formerly homeless people regain and maintain their independence.
  • Present a relaxed, courteous, and professional communication style even under pressure.
  • Organized with attention to detail.
  • Must be able to communicate effectively with a variety of personalities and be comfortable working with an atrisk client population, including embracing the agency's Diversity Equality Initiative.
  • Ability to both work independently and be a part of a team.
  • Knowledgeable of Microsoft Suite of programs, including Microsoft Word, Microsoft Excel, and Microsoft Outlook. In addition to general computer programs, the Program Monitor will use our property management software system RealPage/Activebuilding and needs solid computer skills, organization skills, and excellent alphabetization and filing skills.

Experience


Minimum of three (3) years' experience working with "hard to serve", substance abuse and mental health clients, with at least one (1) year in a human service agency.

Translatable military experience and skills may be alternatively substituted.

  • Ability to maneuver throughout the building, including stairs.
