This is an in-office position located in Brea, CA.

The clerical assistant will report to the Operations Team Leader in a busy law office that supports many remote attorneys and staff members and will be responsible primarily for assisting the attorneys and staff with clerical duties.

The clerical assistant will be expected to communicate with the attorneys, business partners, courts and opposing counsel in litigation matters, and will assist in ordering of medical records from records providers, downloading, uploading and handling various sizes of electronic files, and will be expected to ensure that form letters and templates are used correctly as needed.


Additional responsibilities will include:

  • Monitoring efaxes and electronic service mailbox,
  • Maintaining and organizing electronic and physical legal files,
  • Ordering and uploading documents,
  • Burning and sending confidential information and records to CDs, USBs, or through a managed file transfer (MFT site),
  • Printing and packaging documents to be sent through US Mail or UPS, and
  • Answering the office general phone

Qualifications:

  • High school diploma, college degree preferred
  • At least one year experience working in a paperless legal environment
  • Strong written and verbal communication skills
  • Proficiency with the Microsoft Office Suite, specifically, Outlook, Word and Excel, as well software
  • Basic knowledge of legal terminology and litigation will be helpful
  • Strong multitasking, organizational and time management skills
  • Ability to work with confidential/sensitive information and use diplomacy in written/verbal communication with internal/external clients
  • Ability to effectively manage multiple projects, use independent judgment in a fast paced and high volume environment
  • Demonstrated efficiency, productivity, and attention to detail, strong organizational skills and accuracy
  • Ability to work on strict and short deadlines; able to set priorities and deal effectively with shifting priorities
Compensation

The listed annualized base pay range is primarily based on analysis of similar positions in the external market.

Actual base pay could vary and may be above or below the listed range based on factors including but not limited to performance, proficiency and demonstration of competencies required for the role.

The base pay is just one component of The Hartford's total compensation package for employees. Other rewards may include short-term or annual bonuses, long-term incentives, and on-the-spot recognition.

The annualized base pay range for this role is:

$40,685 - $61,027
