- Identify and establish relationships with reliable suppliers and vendors of HVAC equipment, parts, and supplies.
- Negotiate terms, pricing, and contracts to ensure cost-effective procurement while maintaining product quality and availability.
- Continuously evaluate supplier performance and address any issues related to delivery, quality, or pricing.
- Work closely with Supplier base and Sales Management to evaluate potential new product offerings.
- Monitor inventory levels of HVAC products to ensure optimal stock levels are maintained without excess or shortage.
- Utilize inventory management software systems to track product movement, update stock levels, and generate reports.
- Implement inventory control measures to minimize waste, avoid overstocking, and reduce carrying costs.
- Analyze historical data, market trends, and upcoming projects to forecast demand for HVAC products and parts.
- Actively collaborate with Sales and Operations Management to secure information that may impact established forecasts or stocking plans (promotions, new product introductions, new customer volume, etc.).
- Place purchase orders in a timely manner to replenish inventory based on demand forecasts and current stock levels.
- Monitor the status of orders and track shipments to ensure on-time delivery.
- Communicate with suppliers to resolve any discrepancies or delays in delivery.
- Ensure that all procured HVAC products and parts meet quality standards and specifications.
- Conduct regular quality checks and inspections on incoming shipments to verify product accuracy and condition.
- Work closely with the Finance department to manage and control procurement budgets.
- Identify opportunities for cost savings through bulk purchasing, negotiation, and vendor evaluation.
- Maintain accurate records of purchases, inventory levels, and supplier information.
- Generate regular reports on inventory turnover, stock levels, and purchasing trends for management review.
- Bachelor's degree in Supply Chain Management, Business Administration, Engineering, or a related field (or equivalent work experience).
- Proven experience in procurement, inventory management, or purchasing, preferably in the HVAC or construction industry.
- Strong knowledge of HVAC equipment, parts, and supplies, including technical specifications and industry standards.
- Proficiency in using inventory management software and Microsoft Office Suite (Excel, Word, PowerPoint).
- Excellent negotiation and communication skills.
- Analytical mindset with the ability to interpret data and make informed decisions.
- Detail-oriented with a focus on accuracy in record-keeping and order processing.
- Strong organizational and multitasking abilities.
