Clerk Typist I, II, Administrative Assistant & Secretary Sheriff's Office


GENERAL STATEMENT OF DUTIES:
Performs all clerical tasks associated with the Sheriff's Office.


DISTINGUISHING FEATURES OF THE POSITION:

The Clerk Typist I, II, Administrative Assistant and Secretaries are responsible for all clerical details within the Sheriff's Office.

Each of these individuals must be a qualified typist and be capable of performing generalized clerical tasks.

An Employee working in this classification must have a basic knowledge of computers and generalized computer software programs used in the business world.

Employees in this classification must also be able to effectively communicate person to person via telephone. Most clerical tasks assigned will be performed under general supervision unless the nature of the assignment requires enhanced supervision. Alertness and a willingness to learn and prepare for assignments of progressively increasing difficulty are essential. Supervision may be exercised over the work of subordinate clerks.


EXAMPLES OF WORK:
(Illustrative only) -Types forms, letters, legal documents, affidavits, contracts, schedules, invoices, civil processes, vouchers, records, reports, correspondence from rough drafts and other similar documents dealing with Civil process; -Sorts, records, and files documents; -Opens, processes and routes incoming/outgoing mail; -Ability to manage time sensitive documents and processes; -Acts as receptionist, answering telephone and furnishing information in response to public or official inquiry; -Maintains clerical-accounting records; Daily, Monthly, and Yearly; -Processes and issues license to carry permits and firearms licenses; License to Sell firearms and Precious Metals; -Performs scheduling functions; -Assists the public at counter; -Operates computers and the specializes Sheriff's Office software; -Operates typewriter and other office equipment; -Processes civil papers which involves determining the appropriate filing fees and file numbers, collecting fees, issuing receipts and performing related duties; -Files and retrieves items filed in the Prothonotary's Office. -Dockets legal papers that have been filed for recording by sorting into various sequences; -Prepares case files; in county and out of county; -Processes warrants and maintains active database; -Searches and locates file material; -Records entries into the PFAD and Infocon Database System;
REQUIRED KNOWLEDGE, SKILLS,


AND ABILITIES:

General knowledge of office terminology, procedures and equipment and of business arithmetic and English; computer and typewriter operational skills; ability to type from clear copy or rough draft at a reasonable rate of speed; ability to understand and follow oral and written directions; ability to maintain simple to complex clerical records and process those records accordingly; ability to make decisions in accordance with laws, regulations and established policies; follow the rules of confidentiality; problem solving abilities; clerical aptitude; good judgment; multi-tasking and accuracy; tact and courtesy; and mental alertness.


ACCEPTABLE EXPERIENCE AND TRAINING:

Some experience in clerical work which involved typing at a basic clerical level and completion of a standard high school course with business training highly desirable; or any equivalent combination of experience and training which provides the required knowledge, skills and ability to effectively perform the job.

THE CLASSIFICATIONS OF CLERK I, II, ADMINISTRATIVE ASSISTANT, AND SECRETARY ARE SIMILAR IN REGARD TO THE DUTIES BEING PERFORMED BY THESE PERSONNEL.

THE ONLY DIFFERENCE IN THESE CLASSIFICATIONS AIS SIMPLY THE NUMBER OF YEARS OF SERVICE EACH EMPLOYEE HAS WITH THE COUNTY THAT PLACES THE EMPLOYEE IN THE APPROPRIATE CLASSIFICATION


Pay:
$ $12.31 per hour

Expected hours: 40 per week
