How you will make an impact as an Executive Assistant:

  • Represent ADVENT by providing high level support to the President of ADVENT
  • Prioritize tasks to ensure that action items, deadlines, and deliverables are completed in a timely manner through strategic and operational support
  • Manage inboxes, complex calendaring, and meeting schedules, balancing the needs of multiple stakeholders and different types of activities
  • Book business travel and process expenses
  • Provide expertlevel support in the full Microsoft Suite, (specifically Outlook, Word, PowerPoint, and Excel) assisting with creating drafts and editing presentations, providing written documentation of information and organization of data
  • Coordinate events, meetings and gatherings, anticipating the needs to ensure meetings run smoothly and proactively capturing next steps and action items to ensure follow through
  • Handle highly sensitive and confidential information with professionalism and discretion
  • Identify, propose and implement continual improvements to drive process efficiency, scalability and innovation within the scope of your work that enhances our ability to achieve the ADVENT vision

What we're looking for in an Executive Assistant:

  • Minimum of 3 years working in an administrative or business position supporting a professional team
  • Demonstrated superior communication capabilities, with the ability to communicate at all levels of the organization
  • Strong professional presence and business acumen, excellent organizational and interpersonal communication skills, and organizational agility
  • Ability to work autonomously with mínimal direction, anticipating needs and planning accordingly as well as taking initiative to organize and prioritize responsibilities and tasks to meet deadlines
  • Anticipate potential roadblocks and approach them with a problemsolving mindset
  • Skilled in exercising a high degree of initiative, judgment, discretion, and decisionmaking
  • Willingness to take on all duties in support of ADVENT's success; understands the importance of a "no job is too small" mentality and willingly takes on assignments and duties outside of the scope of the role
  • Flexible with changing priorities and ability to handle last minute needs with ease
