What you can expect:


Reporting to the HR Manager, our Receptionist/Secretary will be responsible for providing initial customer services duties to individuals seeking or receiving services from Woodlands Behavioral Healthcare network.

Interactions are warm, welcoming and demonstrate an adherence to a Recovery Enhancing Environment.


How you will make an impact:

  • Provides customer service to individuals in a warm and welcoming manner that are seeking/receiving services from Woodlands. Responsibilities include greeting, answering phone calls, scheduling and assistance to individuals in the reception area.
  • Responds to Limited English Proficiency/ TTY telephone calls as needed.
  • Enters data into various databases (Satisfaction Surveys, etc.) and spreadsheets used to generate reports required by audits, accreditation entities and for internal management purposes.
  • Performs scanning/ filing of correspondence and other documents as required.
  • Coordinates customer record request (logging, copying, and mailing).
  • Attend various agency meeting, complete minutes as assigned.
  • Completes daily courtesy calls to remind clientele of appointments with physician and/or clinicians.
  • Performs the duties of other clerical personnel as workloads, absences, or emergencies may require.
  • Distributes and aggregates customer satisfaction survey.
  • Other clerical duties and administrative support functions as assigned by Supervisor.
  • Responsible for handling all information in a confidential manner.

Minimum Education & Experience Requirements:


  • Must be 18 years of age
  • Minimum of high school diploma or equivalent.
  • Valid driver's license with acceptable driving record.
  • Knowledge of basic communication and empathic listening skills.
  • Ability to work with other staff within a team concept.
  • Ability to accept supervision and complete assignments and duties accurately and in a timely manner.
