PURPOSE:
Responsible for maintaining excellent customer service. Greet visitors and address inquiries on the phone. Assist the administrative team with a variety of tasks.

Project a positive company image, interact professionally with customers, vendors, program participants, all levels of company management and maintain confidentiality at all times.


ESSENTIAL DUTIES AND RESPONSIBILITIES:


  • Responsible for maintaining excellent customer service to participants, supporters, callers, visitors, coworkers, volunteers and interns.
  • Responsible for keeping the office clean, professional and clear of clutter.
  • Responsible for maintaining a clean office space, sanitizing main touch points and managing sanitizing stations.
  • Manage inventory of office supplies
  • Generate donor acknowledgement/thank you letters and receipts
  • Responsible for packing marketing materials for parents support groups, resource fairs and workshops and refilling brochures when they run out.
  • Assist other administrative staff with overflow work, including word processing, data entry and internet research tasks.
  • Entering data into Excel spreadsheets and Salesforce, etc.

OTHER DUTIES AND RESPONSIBILITES:


  • Order and manage office supplies
  • Prepare office for meetings
  • Assist with special events and workshops
  • Run miscellaneous errands, when needed
  • Assist with marketing material, creating flyers
  • Flexible, positive and team player attitude

JOB-RELATED QUALIFICATION STANDARDS:


  • Willingness to learn new computer programs as needed
  • Knowledge of secretarial skills and use of common office equipment
  • Knowledge of administrative and clerical procedures
  • Knowledge of customer service principles and practices
  • Knowledge of Adobe Illustrator (a plus)
  • Knowledge of Adobe Illustrator, Canva or PicMonkey a plus

EDUCATION:
High school diploma or equivalent.


WORK EXPERIENCE:
Some work experience required.


LICENSES OR CERTIFICATES:
Must possess or be able to obtain a valid California driver's license


LANGUAGE SKILLS:

  • Must possess excellent written, verbal and interpersonal communication skills and the ability to create, proofread and edit correspondence and written materials.
  • Must be able to project a positive company image, interact professionally with participants, supporters, customers, vendors, all levels of company management and maintain confidentiality at all times.

MENTAL DEMANDS:
Must possess excellent organizational skills, including the ability to handle multiple duties and priorities simultaneously in a fast-paced environment.

Strong analytical skills, follow-through skills, attention to details and ability to produce work with a high degree of accuracy required.

  • Communicate in person and by telephone
