As part of MLA's Administrative Services Unit (ASU), the Operations Coordinator (Mail, Copy & Distribution Services) is responsible for coordinating incoming and outgoing mail services, printing services, and confidential shredding and offsite file storage services.

This position is responsible for maintaining confidential shredding and offsite file storage services for MLA's Baltimore City office.

This position reports to the Director of Administrative Services and works in partnership with the Administrative Services Unit staff, Information Technology staff, Office Managers, Administrative Assistants, and Vendors.


Responsibilities
The Operations Coordinator (Mail, Copy & Distribution Services) is responsible for:

  • Directing interoffice and external mail services; establishes and implements policies, procedures and standards for ensuring timely processing and delivery of a variety of mail and packages; communicates information to MLA personnel.
  • Schedules and coordinates mail pickup and delivery from various departments throughout the building. Ensures compliance with US Postal Service regulations. Coordinates bulk mailings for department personnel and advises on appropriate shipment methods.
  • Crosstraining administrative staff in mail and duplication services; trains new administrative staff on mail services and copying equipment.
  • Maintains log of postage, package shipment, supplies, equipment rental, and related mail transaction expenses; adds postage to equipment and balances meters; prepares daily report for Finance on postage expenses. Assists in developing the annual budget for mail services.
  • Researches new mail services and technology to provide the most cost effective and uptodate shipment methods to City departments. Stays abreast of changes in postal rates or supplies and provides feedback to management for strategic planning purposes.
  • Maintains inventory for buildingwide paper and toner needs; as well as materials required for printing and duplication.
  • Schedule maintenance via contracted vendors on buildingwide mail and duplication equipment to ensure continuous operations.
  • Works with Director of Administrative Services on maintaining organization wide duplicating and mail equipment leases and coordinate distribution of, and training for new equipment.
  • Delivers requested office supplies.
  • Delivers supplies to kitchenettes.
  • Other duties as assigned.

Qualifications

  • High School diploma or equivalent (GED).
  • Two years of related experience or equivalent combination of education and experience.
  • Ability to work independently and to make independent decisions when circumstances require action.
  • Ability to work as part of a collaborative team.
  • Ability to work efficiently and professionally under tight deadlines.
  • Detailoriented and able to handle multiple tasks in a fast paced environment.
  • Experience with large office copiers and postal machines.
  • Excellent customer service skills.
  • Must be able to lift up to 50 pounds.
  • Interest in working in a mission focused nonprofit environment is a plus.
  • Previous corporate mailroom experience, preferably at a law firm.

Benefits
