Responsibilities:
In this role, you'll keep the financial planning process moving smoothly, so advisors can focus on delivering exceptional guidance to clients.
Your day‑to‑day work may include:
Prepare for client meetings by organizing documents, gathering investment and planning data, and ensuring advisors have everything they need to deliver a great experience.
Process financial business (insurance + investments) through accurate data entry, quality checks, follow‑ups, and ensuring each step moves forward without delays.
Support administration through scanning, filing, thorough documentation, phones, and reception coverage.Communicate with clarity, keeping clients informed on where things stand in their plan and helping advisors stay up‑to‑date on client progress.
Solve operational problems by gathering data, updating reports, flagging risks, and finding process improvements that remove friction for our team and clients.
Prioritize and manage multiple tasks in a dynamic environment, especially during busy seasons.Grow continuously, whether that's learning new tools, exploring financial planning concepts, or identifying new ways to better support clients and internal workflows.
Required Qualifications:3+ years of experience in an office environment
At least one of the following: 3+ years of financial industry experience (e.g. tax office, banking, financial advising office), health insurance license, or life insurance license
Entry level proficiency in some Microsoft tools
For example:
- Outlook: Send and organize emails, schedule meetings.
- Word: Create and format documents.
- Excel: Use basic formulas and create simple spreadsheets.
3+ years of financial industry experience (e.g. tax office, banking, financial advising)
Health insurance license
Life insurance license
Annuities class completion
Notary public certification
Series 65 (or Series 66 or Series 7) license
Intermediate level proficiency in Microsoft 365 suite
For example:
- Outlook: Manage calendars, set recurring meetings, create email rules.
- Word: Format documents, apply styles, insert tables/charts.
- Excel: Use formulas like IFS and VLOOKUP, create tables/charts.
- Teams: Host meetings, use channels, share files.
- OneDrive: Upload files, share links, organize folders.

Use lists, filter views, apply formatting.
- Planner: Assign tasks, set deadlines, track progress.

*Must be willing to work on-site at least 2 days a week, then during busy seasons (Feb-April, end of year, and periodically as needed) work on site full-time. During the first two weeks of employment, the role will require full‑time on‑site work.*Compensation based on experience and credentials.
