In order to fully operate the Maryland Department of Veterans Affairs (MDVA), the administrative support specialist is seeking an experienced professional with the ability to provide all-around administrative support and assistance to the MDVA programs and operations.

The Administrative Support Specialist is one of the most important members of the office management team who carries out duties such as ensuring the smooth delivery of information, communication, and service to the veterans, their families, the staff and other persons.


Responsibilities:


  • Manage front desk operations, including greeting visitors, answering phone calls, and directing inquiries to the appropriate staff members or departments.
  • Maintain office supplies inventory, place orders for supplies as needed, and ensure proper organization and storage of office materials.
  • Coordinate office maintenance and repairs, liaising with building management or external vendors to address facility issues promptly.
  • Provide administrative support to department staff, including preparing correspondence, memos, reports, and presentations.
  • Assist with scheduling appointments, meetings, and events, coordinating logistics, sending invitations, and arranging necessary accommodations.
  • Manage departmental calendars, update schedules, and reminders, and ensure timely completion of tasks and deadlines.
  • Create, maintain, and organize electronic and physical filing systems for department records, documents, and correspondence, ensuring accuracy and confidentiality.
  • Assist in drafting, editing, and proofreading documents, ensuring adherence to departmental standards and formatting guidelines.
  • Facilitate document distribution and dissemination, including printing, copying, scanning, and mailing as required.

Experience:


  • Completion of high school or equivalent.
  • Minimum experience consisting of two years performing secretarial or clerical work involving filing, answering phones, typing duties, data entry, and completion of forms. Sorting mail as well as mail distribution.
  • Demonstrated ability to type at a minimum of forty words per minute

Requirements:


  • Knowledge to operate standard office equipment, e.g., copier, fax machine, etc.
  • Must have strong Microsoft Access, Microsoft Word, and Microsoft Excel skills.

$50, $55,621.75 per year
