POSITION OVERVIEW:


As a Receptionist for Kiewit, you will serve as the first point of contact for the district office and collaborate with various departmental teams to complete administrative tasks related to office events, meetings, and celebration planning, as well as other administrative tasks such as office inventory management, new hire assistance, document/report management, and more.

This person should be motivated, willing to learn, possess exceptional written and verbal communication skills, and be proficient in various software systems such as MS Word, Teams, Excel, Share Point, and others.


DISTRICT OVERVIEW:


  • Kiewit's Eastern District specializes in challenging heavy civil construction projects throughout the Northeast, including the metropolitan areas of New York, Chicago, Boston, and Washington DC. We are leaders in bridge, transit, foundation, tunnel, and water/wastewater construction while specializing in castinplace concrete, structural steel erection, earthwork, pile driving, and caissons. Kiewit's Eastern District also has a large amount of work in the energy/power sector in various northeast locations. With our experienced and dedicated employees, extensive resources and indepth market knowledge, the Eastern District can handle projects of any size.

RESPONSIBILITIES:


  • Serve as the first point of contact and assistance for all employees, vendors, clients, and any other professionals who enter the office.
  • Sits in the front desk area and assist with employee and visitor signin and registration.
  • Assist with meeting preparation, scheduling, and other office coordination.
  • Complete preparations for new hires' first days, such as assigned offices, welcome letters, and any other needed documents/supplies.
  • Sort mail and packages upon delivery.
  • Monitor office supply inventories and order supplies as needed.
  • Assist in managing seating charts.
  • Assist in the management of nonprofit giving activities for the office.
  • Provide support to the Area Office Controller for document preparation as necessary.
  • Order and distribute annual holiday gifts to office members.
  • Assist with annual district celebrations and other events (schedule coordination, preparation, setup, ordering gifts, awards, etc.).
  • Order food/meals and other necessary supplies for meetings.
  • Provide backup to the executive assistant of senior office leadership as needed.

QUALIFICATIONS:


  • High school diploma and at least 2 year(s) of applicable business administrative support and clerical experience. Previous experience in construction or engineering related fields a plus.
  • Proficient in Microsoft Office products including Word, Excel, PowerPoint, Visio, and Sharepoint.
  • Experience assisting in the preparation of meetings and other workrelated events within a fastpaced office environment.
  • Able to work at a computer and look at a screen for long periods of time.
  • Ability to work sitting, standing, and move boxes up to 40 lbs.
  • Must be a positive, proactive, strong team participant with the ability to maintain professionalism and confidentiality.
