PURPOSE OF JOB:

The Genetic Counselor Assistant is responsible to support the GC and other clinicians with administrative functions, including triaging incoming cases for GC and assist with collecting necessary patient clinical information.

Additional responsibilities include coordinating and scheduling appointments, updating patients' electronic medical records, routing telephone calls, assisting with the creation of educational materials and patient letters, participating in team meetings and performance/quality improvement projects, and other duties as assigned.

Genetic Counselor Assistant performs administrative duties necessary to maintain efficient genetic counseling operations and acts as a representative between the department staff, patients/families and internal/external customers.

The Genetic Counselor Assistant functions in day-to-day administrative operations.

ESSENTIAL FUNCTIONS:

  • Provides administrative support to Genetic Counselor.
  • Actively participates in and supports departmental and organization quality initiatives and goals.

JOB CRITERIA AND PERFORMANCE STANDARDS:
A.

Provides administrative support to Genetic Counselor:

  • Assists with obtaining/abstracting/updating medical records, patient chart review and case preparation for genetic counselor, as directed.
  • Creation of new charts, scanning of Genetic Counselor documents into EMR, and temporary paper chart preparation for all upcoming appointments (including accessing online questionnaire and managing dissemination of information to Genetic Counselor).
  • Coordinate and research all insurance coverage for genetic testing for patients and provide updates about insurance authorizations, decisions, and status of testing.
  • Assists with appointment scheduling and phone inquiries related to genetic services.
  • Assists with coordinating genetic testing for family members for both diagnostic testing as well as research genetic testing.
  • Assists genetic counselor in drafting and/or dissemination of post-counseling documentation to patients and clinicians, such as patient family letters or letters of medical necessity, with guidance from genetic counselor.
  • Assists with collection and management of family history information and developing pedigree.
  • Makes all appointment calls including documentation of communication. During calls, reviews with patients the flat fee collected at time of appointment.
  • Manages earnings of collected patient fees.
  • Obtains prescriptions from referring doctor required for all patient appointments.
  • Coordination/scheduling of Genetic Counselor blood draws.
  • Coordinating the process of getting archived paper charts into the EMR system until completion. Archive search for patient records, when indicated.
  • Faxing Genetic Counseling documentation when appropriate, overseeing incoming faxed referrals and making copies of patient information/handouts when needed.
B. Actively participates in and supports departmental and organization quality initiatives and goals.


  • Identifies professional goals, which reflect own strengths and weaknesses and seeks assistance for improvement of performance.
  • Attends and participates in meetings according to department standards.
  • Supports and participates in department, hospital, and evidence based care quality initiatives, including core measures.
  • Supports genetic counselor with documentation and compilation of standards for the ACoS-COC, NAPRC and for the NAPBC as it relates to genetic counseling.
  • Responsible for assisting with survey preparation compilation, documentation, and submission review for NAPRC, NAPBC and for the COC as it relates to genetic counseling.
  • Assists genetic counselor, as directed, in documenting, and implementing in a study or goal (programmatic or clinical) each year, if applicable, for either the NAPRC, NAPBC or for the COC.
  • Participates as a team member or in workgroups on departmental initiatives such as daily huddle, Lean Daily Management System. ** THIS FORM IS STANDARD FOR ALL DOYLESTOWN HOSPITAL ASSOCIATE

QUALIFICATIONS:
A


Education:
High School diploma and additional college or business schooling preferred.

B


Experience:
At least 1-2 years of experience dealing effectively with the public. Experience in a fast-paced, busy office setting, healthcare preferred.

C


Other Skills:
Typing, computer (Excel, Word, Power Point, Publisher), FAX duplicating equipment and telephone communication skills

D. Genetic Counseling Assistant experience and Genetic Counseling Assistant certification preferred. Achieves genetic counseling assistant certification within 1 year of employment.
