Summary:
As a member of our Administrative Team this position is responsible for both supporting administrative staff and providers by performing as a Medical Records Coordinator.
This role specializes in the administration of legal records and documentation, as well as assisting with medical record functions.Essential Functions as a Medical / Legal Coordinator:
- Processing of forms, i.e. disability, FMLA, parking placards, etc
- Reviewing and summarizing medical and billing records
- Requesting Explanation of Benefits from health insurance companies
- Interacting with Physicians, medical office staff, attorneys, insurance companies, etc. on a daily basis
- Call patients to confirm appointments and special tests
- Record and transmit phone messages in a timely manner
- Regularly check voice mail and respond before the close of business day unless it requires immediate attention
- Responsible for peer review case coordination
- Arrange referrals to other health care providers; scheduling appointments for consultations, xrays, lab tests, physical therapy, MRI's, CT scans, etc.
- Route all patient calls to call center to ensure all patient information is updated
- Accurately entering all patient demographic information and other data
- Ensure that all patient paperwork is scanned into electronic record in a timely and accurate manner
- Preparing patient charts and gathering information and documents from patients
- Ensuring that the medical records are organized, accurate and complete
- Issuing medical files to persons and agencies according to laws and regulations
- Creating digital copies of paperwork and storing the records electronically
- Safeguarding patient records and ensuring that everyone complies with the HIPAA standards.
Qualifications
- Must have a High school Diploma or equivalent; two years of related work experience; IME experience preferred
- Minimum of 1 year experience in private practice required (3+ years highly desirable)
- Outstanding listening skills and the ability empathize with others
- High degree of composure and interpersonal skills
- Devoted to teamwork and portraying the company in a very positive manner
- Excellent written, verbal, interpersonal and communication skills
- Ability to work under pressure and accurately prioritize problems & initiatives
- Ability to work some overtime during the week to accommodate physician patient schedule as directed
- Experience with computerized scheduling system required
- Basic working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience and familiarity with prior authorizations and insurance requirements in a specialty and/or surgical setting is highly desirable
- Knowledge of medical terminology
