GBC is hiring a Clinic Coordinator


GBC is an autism treatment center that provides children with Autism Spectrum Disorder (ASD) services based on the principles of Applied Behavior Analysis (ABA).

This includes in-home and clinic-based ABA therapy. Each program is always individualized and always transformative. Some things we work on with our patients are social, independence, academic, and daily living skills.

You might teach a child how to count, wash their hands, or take turns - the sky is the limit We also work to decrease "problem" behaviors and help with functional communication.


While ABA therapy is typically used to increase skills and decrease troubling behaviors, at GBC, we don't only focus on the areas that aren't going well or the behaviors that might be seen as weaknesses in children with autism.

***The Clinic Coordinator is responsible for organizing and overseeing the daily activities of GBC's clinic. They manage staff, communicate with different departments, and ensure adequate patient care amongst other duties. The Clinic Coordinator is fluent in all processes and procedures, are responsible for ensuring clinic policies and procedures are always followed and for cultivating GBC's culture within the facility. They must effectively communicate with our team while creating a positive workplace culture.


KEY RESPONSIBILITIES

  • Provide support to GBC patients and maintain a relationship with each patient's family.
  • Communicate frequently with other GBC departments, including directors, supervisors, and scheduling team.
  • Track patient's authorizations and oversee the authorization utilization, ensuring that we do not overutilize or underutilize authorizations.
  • Assist with the patient onboarding process by screening new patients for assessments, determining availability, and giving tours as needed.
  • When a new patient starts in the clinic, ensure the new patient has materials set up for services (snack bins, program bins, etc.)
  • Assist in managing GBC's electronic medical record system (CentralReach) by keeping patient files accurate and assisting with getting treatment notes signed.
  • Ensure that all appointments for the clinic are converted in CentralReach each day in accordance with GBC policies.
  • Assist with onboarding staff by conducting new hire orientation.
  • Assist with administrative tasks in the patient and staff onboarding and offboarding processes, such as updating patient or staff files, setting up training, etc.
  • Conduct various safety audits, including running regular emergency drills and badge audits.
  • Conduct various clinic audits to ensure GBC operating standards are met, such as supply audits, clinical inventory, and binder audits.
  • Conduct daily audits and data entry in CentralReach to oversee clinic operations.
  • Conduct daily janitorial maintenance of the center following GBC's procedures, including ensuring the lobby and clinical spaces are clean, presentable, and adequately stocked.
  • Conduct regular deep cleanings in the clinic, and ensure walk ways are shoveled and iced during winter months.
  • Set up new office technology/supplies as needed.
  • Cover scheduling phone lines as needed.
  • Monitor the incoming mail and file in appropriate areas.
  • Create materials for the clinical team as needed.
  • Monitor and pull various clinical reports, such as tracking and sharing incident reports.
  • Review cancellation report and have followup conversations with staff or patients when applicable.
  • Serve as a support staff during patient appointments, supporting the technicians by providing bathroom breaks, coordinating early pickups when necessary, etc.
  • Plan and host monthly educational events for GBC's Behavior Technicians, including coordinating with GBC's BCBAs.
  • Plan and host holiday and graduation parties for patients in the clinic space.
  • Be fluent in all GBC's policies and ensure that all clinic operational policies and company policies are being followed in GBC's facilities.
  • Lead by example with modeling GBC's values and culture and hold all GBC personnel accountable for embodying our values and culture.
  • Provide coaching and feedback to GBC personnel when needed related to general behavior observed in the clinic (e.g., professionalism, culture).
  • Help cover bathrooms breaks
