Key Responsibilities:


  • Evaluate various types of incoming payer and patient imaged correspondence documents in EPHESOFT.
  • Review Ephesoft categorization during the "review" process and validate key identifiers in the "validation" process before exporting to RicohEDE.
  • Update documents requiring additional information in RICOHEDE before export to APEX.
  • Research key identifiers using EPIC, PFS Research database, and other sources.
  • Complete all requirements for exporting images and indexing data for APEX.
  • Create manually scanned correspondence batches from surface and internal mails.
  • Import manual batches into Ephesoft and utilize labeling or Ephesoft IOCR process for accurate categorization.
  • Log and maintain incoming correspondence data for reporting.
  • Input correspondences into patients' accounts and document appropriately in the system with high attention to detail.
  • Receive and process billing record requests for subpoenas, attorneys, and copy services.
  • Document incoming requests in patients' accounts in Epic and prepare itemized statements according to request specifications.
  • Receive and process medical records requests and distribute to the Followup Unit.
  • Serve as receptionist for Medical Group Business Services department.
  • Maintain conference room schedules and office supplies stock.
  • Ensure protocol adherence during guest and vendor checkin.
  • Assist with Claims Edits, Remittance Edits, Paper Claims, NOFO/NOFI, and other duties as needed.
  • Prepare invoices for Payment Processing and archive MGBS invoices.
  • Provide support for simple reconciling projects and archive MGBS files.
  • Restock MGBS office supplies; lift boxes up to 40lbs; reach items on a shelf that's five feet tall.


For roles covered by a bargaining unit agreement, there will be specific rules about where a new hire would be placed on the range.


Department Description

Required Qualifications

  • Flexibility to orient and work at all UCSF Medical Center locations.
  • Certificate of training or graduation from an accredited MA, Home Health Aide, PCA, CNA, dental or paramedic program, or a college degree in a related field with 6 months of relevant experience, OR 2 years of relevant experience as a Medical Assistant in a hospital or medical practice.
  • Knowledge and abilities essential to the successful performance of assigned duties.
  • Effective communication skills, both direct and over the phone.
  • Physical capability to meet job requirements.

Preferred Qualifications

  • Certification in Medical terminology or coding.
  • Experience with Epic hospital or professional billing systems.
  • Knowledge of contracts, insurance billing requirements, 1500 claim forms, worker's compensation, HMOs, PPOs, capitation, Medicare, Medi-Cal, and HIPAA compliance regulations.
  • Familiarity with electronic billing systems (e.g., EPIC, APeX).
  • Understanding of HIPAA rules and regulations.
